🎯 Role Overview:

We’re looking for a true ClickUp power user, someone who doesn’t just manage tasks, but architects systems.

This role is responsible for designing, building, and administering scalable ClickUp environments for both internal operations and client implementations. You will translate business strategy into structured, automated workflows that drive visibility, accountability, and measurable results.

If you’ve built complex Spaces from scratch, designed advanced automations, created executive dashboards, and know how to structure ClickUp for scale, we want to talk.

 

🧩 What you will do

In this role, you will:

Strategic ClickUp Architecture (Internal & Client-Facing)

  • Architect scalable ClickUp workspaces aligned to business models and operating structures
  • Design multi-Space environments with clean hierarchy (Spaces, Folders, Lists, tasks)
  • Develop standardized naming conventions, field schemas, and governance frameworks
  • Build systems that are repeatable and templatized for client deployment
  • Administer user roles, permissions, and environment-level controls

This is not maintenance — this is system design.

Advanced Workflow & Automation Design

  • Build complex, multi-step automations to eliminate manual work
  • Design escalation logic, SLA tracking, and conditional workflows
  • Implement automation frameworks across teams and clients
  • Optimize performance and reduce automation conflicts
  • Continuously audit and refine workflows for scalability

You should be comfortable designing automation architecture — not just basic triggers.

Executive Dashboards & KPI Engineering

  • Design executive-level dashboards with real-time metrics
  • Build custom field frameworks for financials, capacity, delivery health, and client reporting
  • Create cross-space reporting views and formula-based KPIs
  • Connect operational work to strategic objectives and measurable outcomes

Leadership should be able to log in and instantly see the health of the business.

Client Implementation & Scalable Builds

  • Lead ClickUp builds for clients from discovery to deployment
  • Translate client operational needs into structured system design
  • Create templatized frameworks for repeatable implementation
  • Build training documentation and lead client enablement sessions
  • Ensure long-term sustainability, adoption, and scalability

This role requires strategic thinking — not just technical execution.

Governance, Optimization & Continuous Improvement

  • Establish system governance standards
  • Maintain data cleanliness and architecture integrity
  • Identify performance bottlenecks and redesign for efficiency
  • Serve as the internal and external ClickUp subject matter expert

 

🧠 What you will bring

  • 3–5 years of deep, hands-on ClickUp build and administration experience
  • Proven experience building complex environments from scratch
  • Strong expertise in:
    • Custom fields & formulas
    • Advanced automations
    • Dashboards & reporting
    • Templates & scalable frameworks
    • Permissions & workspace governance
  • Experience implementing ClickUp for clients or multiple teams
  • Strong process design mindset — you think in systems, not tasks
  • Ability to translate business strategy into operational architecture
  • High technical curiosity and comfort troubleshooting complex builds

Ideally you have:

  • Experience working with PMOs or operations teams
  • Experience integrating ClickUp with Slack, Google Workspace, CRM systems, or APIs
  • Experience building KPI frameworks tied to revenue or delivery metrics
  • Power BI experience
