The Opportunity:

We are seeking a highly organized and proactive Executive Business Partner to support our sales team and own the coordination and project management of our general operations specifically focused on our Headquarters in Santa Monica, CA. You will be responsible for ensuring our Sales Team is set up for success while also supporting our office and general business operations as a whole. This dual-role position requires strong multitasking skills, attention to detail, and a customer-focused mindset. You will work closely with the EVPassport Sales and Operations teams to ensure seamless coordination and a productive office environment. We imagine this role to have a matrixed reporting structure so it is critical that this person has strong upwards management and communication skills. This is an excellent opportunity for someone interested in growing into a Chief of Staff in the future. 

This role will work onsite 5 days a week in our Santa Monica headquarters. 

KEY ROLES AND RESPONSIBILITIES:

Sales Team Administration

  • Support the sales team with all administrative tasks including scheduling meetings, preparing sales quotes, and managing critical communications.
  • Generate and manage sales quotes using the company’s CRM, helping drive business success.
  • Process and track orders, coordinating with the Order Management team and providing regular customer updates.
  • Maintain and update CRM data to improve efficiency in forecasting, reporting, and customer interactions.
  • Prepare reports on sales performance, customer requests, and product inquiries as needed.
  • Manage contracts, sales documentation, and administrative tasks related to the sales process.

Customer Support and Communication

  • Respond to customer inquiries in a timely and professional manner, ensuring resolution and satisfaction.
  • Assist in resolving customer issues and coordinating with relevant teams to address challenges.

Internal Collaboration and Project Management

  • Collaborate with internal departments (Marketing, Sales, Operations, and Support) to facilitate smooth information flow.
  • Conduct market research to support sales initiatives.
  • Arrange travel, appointments, and agendas for department managers and staff.
  • Complete additional projects as may be assigned by EVPassport. 

Team Coordination

  • Coordinate general office logistics to ensure a proactive, organized and collaborative environment for all team members. This includes: 
    • Oversee day-to-day office operations, ensuring a well-organized and efficient work environment including partnership with building management and service providers.
    • Serve as the first point of contact for visitors, deliveries, and general inquiries.
    • Manage office supplies, vendor relationships, and facility maintenance needs.
    • Coordinate logistics for office events, meetings, and company-wide initiatives.
  • Support new hires in partnership with IT to ensure employees have the necessary hardware and software, and feel welcomed and productive in our office.

QUALIFICATIONS:

  • We imagine the ideal candidate will have 3+ years of experience in an executive assistant or sales coordinator role with some direct office management experience. 
  • Bachelor’s degree preferred; high school diploma or equivalent required.
  • Proven ability to work in a fast-paced, dynamic environment with changing priorities.
  • Strong organizational, analytical, time-management and project management skills.
  • Excellent written and verbal communication skills.
  • High proficiency in both Google and Microsoft Office Suite (Spreadsheets, Documents, Presentations).
  • Ability to work independently and collaboratively as part of a team.
  • Proactive problem-solving approach with a strong sense of initiative.
  • Occasionally lift office supplies or equipment (up to 70 lbs).

Expected Compensation: $50,000 - $65,000 Placement within this base salary range depends upon several factors, including prior relevant job experience and skill set.
