Position Overview:

Nolan Partners is seeking a detail-oriented and highly organized Project Coordinator in our Dallas office to join our team. This role is pivotal in ensuring the smooth operation of our executive search processes and supporting the administrative needs of our executive team. The ideal candidate will possess excellent communication skills, a proactive mindset, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

Project Coordination:

  • Assist recruiting teams in the planning, execution, and closing of executive search projects.
  • Monitor project timelines and ensure that all project phases are completed on schedule.
  • Coordinate with clients, candidates, and internal teams to schedule meetings, interviews, and follow-ups.
  • Prepare and distribute project-related documents, reports, and presentations.
  • Track project progress and provide regular updates to the Project Manager and executive team.
  • Manage project databases, ensuring all information is accurate and up to date.

Executive Administrative Support:

  • Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Handle confidential and sensitive information with the utmost discretion.
  • Prepare and edit correspondence, reports, and presentations on behalf of the executive team.
  • Organize and maintain files, records, and documentation.
  • Assist in the preparation of board meetings, including the creation of agendas, meeting materials, and minutes.

Client and Candidate Relations:

  • Serve as a point of contact on behalf of the firm for clients and candidates, ensuring a professional and seamless experience.
  • Facilitate effective communication between clients, candidates, and internal teams.
  • Assist in the preparation of client proposals and candidate profiles.
  • Coordinate client and candidate feedback processes, ensuring timely and constructive communication.

Event Coordination:

  • Assist in the planning and execution of company events, including industry conferences, dinners, client meetings, and internal team-building activities.
  • Coordinate logistics, including venue selection, catering, and travel arrangements.
  • Prepare event materials and ensure all details are managed effectively.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • 3+ years of experience in project coordination, executive administration, or a similar role.
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with project management software is a plus.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High level of professionalism and discretion.

The pay range for this position is $70,000 - $75,000 per year. This position is also eligible for benefits and discretionary bonus.

Ultimately, the salary may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
