We’re seeking an energetic and proactive Coordinator to join our Dallas office. This is more than just a support role – you’ll be the administrative backbone of our high-impact executive search projects, ensuring every detail runs seamlessly and our executive team can focus on what they do best: delivering results.

What You’ll Do:

Own the Project Coordination Process:

  • Partner with recruiting teams to strategize, execute, and finalize executive search projects that place elite talent in top organizations.
  • Monitor project timelines and ensure milestones are met on time.
  • Be a key point of contact for clients, candidates, and internal teams, coordinating interviews, meetings, and next steps with precision.
  • Prepare and distribute critical project documentation, presentations, and reports that keep stakeholders informed.
  • Maintain project databases with accuracy and provide regular progress updates to our Project Manager and executive team.

Be the Driving Force Behind Event Success:

  • Coordinate company events ranging from high-profile industry conferences and leadership roundtables to intimate client dinners, managing every logistical detail from venue selection to communication and guest lists.
  • Ensure events run smoothly by preparing materials, coordinating vendors, and providing day-of support.
  • Critically think about how we can constantly improve guest experience for purposes of better engagement with clients.
  • Support the Excellent Leadership Podcast through research, scheduling, and preparation of critical materials. 
  • Punctually manage communications with sponsorships and other marketing and advertising activities.

Be the Administrative Powerhouse for the Executive Team:

  • Provide essential support to senior leadership, managing calendars, travel arrangements, and meetings with flawless execution.
  • Handle confidential and high-level information with integrity and discretion.
  • Prepare, edit, and polish reports, correspondence, and presentations for high-profile engagements.
  • Manage activities and administrative needs of the office, including shipping documents, writing and mailing letters, and stocking office resources.

Build and Nurture Relationships:

  • Serve as the administrative contact point of Nolan Partners for clients and candidates, ensuring exceptional communication and a seamless experience.
  • Assist with the preparation of client proposals and candidate profiles, ensuring every detail reflects the prestige of the firm.
  • Facilitate feedback loops, ensuring prompt and professional communication that drives positive outcomes.

 

What You Bring:

  • A Bachelor’s degree in Business Administration, Communications, or a related field.
  • 5+ years of experience in a fast-paced office environment where details are highly important.
  • Exceptional organizational and multitasking abilities – you thrive in a fast-paced, high-stakes environment.
  • Strong written and verbal communication skills, with a polished, professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with project management software is a plus.
  • A high degree of professionalism and discretion, coupled with the ability to work both independently and as a vital part of a team.

 

The pay range for this position is $70,000 - $75,000 per year. This position is also eligible for benefits and discretionary bonus.

Ultimately, the salary may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
