We’re Extenteam, a dynamic company revolutionizing the short term vacation rental industry. Our proven business model has generated consistent revenue, and we are now expanding from a professional services model to a scalable tech-based subscription-first model.
As a scaling stage startup, we aim to grow our Monthly Recurring Revenue (MRR) to double our revenue by January 2026 by providing an AI assisted SaaS platform that works for all short term rental businesses regardless of their size.
Extenteam is on a mission to streamline and support vacation rental businesses by providing top-notch solutions, including guest communication and property management support.
We generate revenue through two primary streams:
- Dedicated Team Members: Providing trained overseas talent with a recurring premium model, replacing one-time recruitment fees.
- Tailwind - SaaS Platform: A guest communication Software blended with our shared services team, supporting smaller operators typically with less than 50 units - helping Extenteam increase profitability while growing our product market fit and expanding TAM and service levels.
Extenteam is a small but mighty team of 50 consisting of Sales, Partner Success, Marketing, HR & Recruiting, Engineering, Product and Admin (IT, Data etc). We are spread out across the world but we have hubs in Miami, LA, Medellin, and actively expanding into Europe. Our 50 people core team is supported by 400+ DTMs (dedicated team members) that are servicing our customers.

We’re looking for a highly organized, detail-oriented, and results-driven team member to join our growing operations team! This role is centered around guest messaging—providing timely, friendly, and professional communication before, during, and after each stay. In addition to guest support, you'll assist with key areas such as reservations and operational coordination, client onboarding and listing setup, as well as administrative and marketing tasks. Key Responsibilities:
Guest Messaging & Experience
● Act as the primary point of contact for guests before, during, and after their stay and respond to guest messages in a timely manner.
● Address special guest requests and coordinate with internal teams to ensure smooth execution.
● Track and document guest communications, issues, and resolutions in internal systems.
● Monitor and respond to guest reviews across platforms.
Reservations & Operational Coordination
● Monitor bookings and ensure property readiness for check-ins and check-outs
● Communicate daily and weekly updates to cleaning, quality control, and maintenance teams
● Coordinate turnovers, remove calendar holds, and manage reservation prep tasks
● Stay on top of lock battery notifications and ensure guest access is seamless.
Client Onboarding & Listing Support
● Assist with onboarding new homeowners and properties
● Organize and upload property information, photos, and assets into internal systems
● Coordinate photoshoots and listing setup on Guesty and other platforms
● Set up owner portals and provide log-in access
● Notify clients once listings go live and help monitor early guest activity
Maintenance & Issue Tracking
● Monitor maintenance channels and guest messages for repair needs
● Coordinate schedules with guests and vendors for maintenance visits
● Ensure all repair updates, photos, and reports are properly documented
● Follow-up post-resolution to confirm guest satisfaction and close the loop
Administrative Support
● Provide day-to-day administrative assistance to the leadership team.
● Support company projects and initiatives with logistics, communication, and task tracking.
● Assist in managing company emails and maintaining professional, timely communication with clients and vendors.
● Prepare and distribute monthly owner statements and expense summaries
● Assist with filing claims for damages or extra cleaning with proper documentation
● Maintain organized digital records for all properties, guests, and vendors
Marketing & Brand Support
● Create social media content and visual assets that align with the company’s brand voice and design guidelines
● Support the marketing team by maintaining up-to-date content trackers and assisting with scheduling and managing social media posts as needed.
● Schedule and publish newsletters, social posts, and guest-facing updates
● Engage with clients, collaborators, and followers across social platforms
● Share monthly performance insights from managed platforms
Requirements:
● Excellent written and verbal English communication skills
● Familiarity with vacation rental platforms
● Strong organizational and multitasking abilities.
● Must be proactive and take ownership of tasks, even with minimal supervision
● Problem-solving mindset and ability to work independently.
● Able to manage multiple priorities in a fast-paced, dynamic environment
● High attention to detail and ability to handle sensitive information discreetly.
● Comfortable using platforms like Google Workspace, Slack, ClickUp, and property management software (Guesty experience a bonus),
● Availability to work CST hours and weekends.
