F6 Data Solutions supports startup, commissioning, troubleshooting, repair, and field service for mission-critical data center cooling systems throughout the United States. Our teams work alongside equipment manufacturers, general contractors, commissioning teams, and data center operators to deliver complex cooling infrastructure safely and successfully. 

Position Summary 

The Project Controls Coordinator is responsible for maintaining accurate, current, and organized project information across assigned data center commissioning projects. The primary focus of this position is disciplined data entry, tracker maintenance, documentation, reporting support, and visibility of project milestones, actions, issues, and deliverables. 

This role supports Technical Project Managers by ensuring the information needed to manage projects is reliable and readily available. It is not the owner of the project, the primary customer relationship, or the escalation path. The Technical Project Manager retains responsibility for project decisions, stakeholder commitments, issue resolution, commercial outcomes, and overall delivery. 

A secondary objective of the role is professional development. Through exposure to project meetings, commissioning activity, technical documentation, and stakeholder interactions, the Project Controls Coordinator will build data center industry knowledge and gradually develop the ability to assist the Technical Project Manager with routine stakeholder communications under direction and review. 

Primary Responsibilities 

Project Data Entry & Data Quality 

  • Enter and maintain accurate project data in approved systems, trackers, dashboards, and shared files. 
  • Update milestones, schedules, commissioning status, testing progress, resource information, issue status, and other assigned project fields based on approved source information. 
  • Reconcile field updates, meeting notes, customer reports, and Technical Project Manager direction to keep project records current. 
  • Identify missing, conflicting, stale, or incomplete information and route questions to the appropriate owner. 
  • Maintain consistent naming conventions, file organization, version control, and record retention. 
  • Complete routine quality checks and correct identified data errors promptly. 

Tracking & Project Controls Support 

  • Maintain milestone trackers, deliverable logs, action-item logs, issue logs, decision logs, testing trackers, and other assigned project-control tools. 
  • Track due dates, assigned owners, status changes, and supporting documentation. 
  • Flag overdue actions, missed updates, emerging gaps, and incomplete records to the Technical Project Manager. 
  • Support visibility of out-of-scope work, rework, delays, parts constraints, and change-related documentation as directed. 
  • Prepare concise summaries that show what is complete, what is open, what is overdue, and where information is missing. 
  • Follow approved templates and project-control standards consistently across assigned projects. 

Documentation & Reporting 

  • Maintain organized project files, meeting records, commissioning documentation, reports, photographs, and supporting records. 
  • Prepare draft status reports, dashboards, milestone summaries, and project-data packages for Technical Project Manager review. 
  • Capture meeting notes, decisions, action items, owners, and due dates accurately. 
  • Support billing readiness and project closeout by organizing required field documentation, signed records, completion evidence, and turnover files. 
  • Ensure documents are stored in the correct location and can be retrieved quickly by authorized stakeholders. 

Technical Project Manager Support 

  • Prepare meeting agendas, status packets, trackers, and supporting materials for Technical Project Manager review. 
  • Coordinate meeting logistics and distribute approved notes and action items. 
  • Draft routine project updates and follow-up communications for Technical Project Manager review and approval. 
  • Follow up with assigned internal owners for status updates while escalating unresolved or sensitive matters to the Technical Project Manager. 
  • Support the Technical Project Manager without independently making customer commitments, changing priorities, interpreting scope, or directing project strategy. 

Data Center Industry Development 

The role is expected to build knowledge over time through structured exposure rather than arrive as a fully developed project leader. Development areas include: 

  • Data center commissioning, startup, turnover, and closeout processes. 
  • Mission-critical cooling equipment, including AHUs/DAHUs, CRAHs, chillers, IRHX systems, pumps, controls, and related components. 
  • The roles of owners, general contractors, commissioning agents, OEMs, site leadership, and field-service teams. 
  • How schedule changes, resource constraints, technical issues, rework, and scope changes affect cost and customer commitments. 
  • Professional meeting participation and routine stakeholder communication under Technical Project Manager guidance. 

Role Boundaries & Working Relationships 

  • Project Controls Coordinator: owns the accuracy, organization, timeliness, and visibility of assigned project data, trackers, and documentation. 
  • Technical Project Manager: owns project scope, schedule, customer commitments, project-specific stakeholder communication, risk, escalation management, commercial performance, and the overall project outcome. 
  • Field Operations Manager: owns staffing decisions, technician performance, development, discipline, employee relations, and field capacity. 
  • OEM Program Manager: owns strategic OEM relationships, program standards, systemic product issues, and program-level technical escalations. 
  • Production Coordinator: coordinates staffing visibility, deployment readiness, resource schedules, and mobilization execution. 
  • Site Lead: owns daily onsite execution, safety, quality, productivity, and field-level coordination. 

Performance Expectations 

  • Project data and trackers are accurate, current, complete, and available when needed. 
  • Required updates are entered within established timelines. 
  • Meeting notes and action items accurately reflect decisions, owners, and deadlines. 
  • Missing information, overdue actions, and record gaps are identified and elevated early. 
  • Project files are consistently organized and support reporting, billing, turnover, and closeout. 
  • Draft communications are professional, accurate, and aligned with Technical Project Manager direction. 
  • The coordinator steadily develops data center knowledge and sound judgment without working beyond the authority of the role. 

What Good Looks Like 

  • The Technical Project Manager can trust the data without rebuilding the tracker. 
  • Open items, deadlines, missing updates, and documentation gaps are visible before they become project problems. 
  • Reports and meeting records are clear, consistent, and easy to use. 
  • The coordinator follows through on assigned work and raises concerns promptly. 
  • Stakeholder exposure results in increasing confidence and capability while the TPM remains the project leader and decision-maker. 

Required Qualifications 

  • Two or more years of experience in project coordination, data entry, project controls, construction administration, field-service support, document control, or a related role. 
  • Strong attention to detail and demonstrated ability to maintain accurate records across multiple priorities. 
  • Proficiency with Microsoft Excel, Outlook, Word, Teams, and shared project-document systems. 
  • Ability to learn new systems, follow defined processes, and work from multiple information sources. 
  • Clear written communication, professional judgment, responsiveness, and reliable follow-through. 
  • Ability to work effectively in a fast-paced, primarily remote environment. 
  • High school diploma or equivalent. 

Preferred Qualifications 

  • Associate or bachelor’s degree in business, construction management, project management, engineering technology, or a related field. 
  • Experience supporting data center, HVAC/mechanical, construction, commissioning, critical-infrastructure, or field-service projects. 
  • Experience with project-management platforms, ERP systems, scheduling tools, dashboards, or document-control systems. 
  • Interest in developing toward a Senior Project Controls Coordinator or Technical Project Manager role. 

Work Environment & Career Development 

  • Primarily remote role with heavy use of Microsoft Teams and digital project systems. 
  • Occasional travel may be required for jobsite exposure, training, project kickoff, or business needs. 
  • Career development may include progression to Senior Project Controls Coordinator or Technical Project Manager based on demonstrated accuracy, ownership, technical awareness, communication capability, and ability to manage increasing complexity.
