Talent Operations Assistant
Factored was conceived in Palo Alto, California by Andrew Ng and a team of highly experienced AI researchers, educators, and engineers to help address the significant shortage of qualified AI & Machine-Learning engineers globally. We are seeking a Talent Operations Assistant to join our team. This role's primary function is to serve as the operational backbone of the TalentOps team. You will support the end-to-end talent journey by ensuring all logistical and data-related tasks are executed quickly and efficiently. The goal is to streamline our talent fulfillment processes, freeing up senior team members to focus on strategic initiatives.
Functional Responsibilities:
- Manage the onboarding and data merging process for new engineers, ensuring seamless transition from the candidate pipeline.
- Accurately labeling and managing information on engineers and candidates will help maintain and update critical internal databases (e.g., Airtable, Jira, and GoogleSheets).
- Manage interview scheduling and logistics, ensuring clear communication between candidates, engineers, and internal stakeholders to guarantee a timely and organized interview process and preparation sessions.
- Support the Talent Operations team in daily activities that drive efficiency and contribute to overall business growth.
- Update and maintain presentations and talent systems with accurate and relevant information, ensuring data integrity and visibility across the pipeline.
- Assist with preparation and follow-up for engineer processes, including gathering intel, generating documentation, and tracking pipeline activities.
- Proactively identify opportunities to improve operational processes and suggest innovative solutions.
- Collaborate with Program Leads to ensure alignment, consistency, and smooth execution of Talent Operations initiatives.
Qualifications:
- Bachelor´s degree in business administration, international business, or related fields.
- +1 year of experience in Business/ Operations roles.
- Demonstrates proactive approaches to problem-solving with strong decision-making capability.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks.
- You must be highly detail-oriented and comfortable wearing many hats.
- Excellent verbal and written communication skills in English and Spanish are a must-have.
Nice to Have:
- Experience in operations, working with and maintaining databases, managing communication between cross-functional teams, and a willingness to take on any task necessary to get the job done.
- Calendaring and project management tool expertise
- Excellent Google Suite (Calendar, Docs, Sheets, Slides,) knowledge, or similar tooling.
