Fairstead is seeking a Community Manager to oversee the day-to-day operations of a luxury property. In this role, the Community Manager will be responsible for the portfolio's overall performance, including direct oversight of the marketing program, financial performance, and personnel decisions.
RESPONSIBILITIES
- Provide excellent customer service to residents and prospective tenants by ensuring daily supervision and oversight of the on-site team, promptly responding to all incoming calls, messages, and emails in a professional, respectful manner, oversee all financial performance and work towards achieving budgeted NOI.
- Direct leasing and marketing efforts, managing move-ins and move-outs, monitoring all rental activity, and partnering with Communications to execute marketing plans.
- Remain knowledgeable of the market, evaluating current leasing activity and making recommendations to leadership on pricing and incentives to maintain competitive status within the local rental market.
- Monitor weekly traffic, ensuring all prospects are being followed up with, and being entered into CRM for future use.
- Monitor budgets and ensure all purchases are completed within budget.
- Attend budget meetings as needed and provide necessary documentation on budget, expenses, and spending as requested.
- Notify Regional Managers to assist with interventions for tenants of concern.
- Monitor tenant and complex wide arrears and litigation cases with attorney updates and access letters (if applicable) and attend monthly arrears meeting (if applicable).
- Monitor and document compliance with Fair Housing regulations, Tax Compliance, and other laws as they relate to property and occupancy guidelines and standards.
- Document lease violations and coordinate evictions.
- Direct collection of monthly rents and late fees, process applications and pursue delinquencies through legal action and eviction and monitors bad-debt write-off.
- Create purchase orders for items that are not contracted and jobs that exceed $1,000.00.
- Ensure timely approval of invoices in the AP account and in Yardi.
- Monitor closing of POs and WOs in Yardi.
- Collect W9’s and COIs as needed.
- Communicate with staff regularly (move ins, move outs, any emergencies, etc.).
- Establish expectations and goals for staff and evaluate performance.
- Ensure proper staffing or coverage of the site.
- Coordinate all site-specific aspects of payroll including the management of employee timecards.
- Maintain scheduled office hours, condition of office and that all administrative assistant responsibilities are handled professionally.
- Supervise and monitors completion of on-site tasks related to preventive maintenance, routine maintenance, and emergency maintenance; document, timely, in Yardi.
- Direct and monitor maintenance staff responses to requests for service and emergency repairs.
- Coordinate vendor bids and contractor quotes.
- Conduct frequent unit inspections; move-in inspection with new incoming tenants, annual inspections for all units, and move-out inspection that is stored correctly in the tenants’ files.
- Conduct bi-annual walk-throughs with Service Manager and create reports for review to ensure all buildings under the CM’s responsibility are properly maintained and building needs are appropriately noted, planned for, and addressed.
- Develop on-going maintenance work and track all necessary repairs to ensure building is properly maintained and is compliant with fire safety and sanitation regulations.
- Respond to emergencies promptly and communicate with appropriate staff to develop response/intervention as needed.
- Work closely with construction team to avoid violations, for inspections, to obtain construction updates, and for granting necessary access.
- Follow up with building preventive maintenance lists working with Superintendent.
- Keep track of daily work order flow and monitor daily, weekly, monthly metrics regarding new tickets and closing.
- Community Managers weekly checklist of each property and provide weekly report.

QUALIFICATIONS
- 3-5 years’ property management experience at a supervisory level.
- Knowledge of local residential rental market, Fair Housing mandates and other compliance matters related to property management.
- Yardi experience preferred.
- Stellar interpersonal and communication skills.
- Proficiency Microsoft Excel and Office.
- Demonstrated ability to build relationships with staff members and the community.
- Ability to multi-task and meet tight deadlines.
Exact compensation may vary based on skills, experience, and location.
Salary Range
$90,000 - $100,000 USD
