The Project Coordinator will play a critical role in supporting the Chief of Staff in managing organizational priorities, cross-functional initiatives, and strategic projects. This position is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced environment, enjoys working across departments, and can balance multiple priorities while ensuring deadlines are met.
Responsibilities
Project Management Support
- Assist the Chief of Staff in coordinating cross-departmental projects and initiatives, ensuring alignment with company goals and timelines.
- Develop and maintain project trackers, timelines, and status reports to monitor progress, identify risks, and escalate issues when necessary.
- Support preparation and follow-up for executive meetings, including agenda setting, note taking, and tracking action items to completion.
Communication & Coordination
- Act as a liaison between the Chief of Staff, executives, and project teams to ensure smooth information flow and accountability.
- Draft, review, and distribute communications related to project updates, policies, and strategic initiatives.
- Support the preparation of executive-level presentations, briefing materials, and reports for internal and external stakeholders.
Operational & Administrative Support
- Organize and coordinate meetings, workshops, and events related to strategic initiatives.
- Assist in compiling data and conducting research to inform decision-making and project planning.
- Maintain project documentation, ensuring accessibility, accuracy, and confidentiality.
Requirements:
- Bachelor’s degree in Business Administration, Project Management, or related field preferred.
- 2–4 years of relevant experience in project coordination, operations, or executive support.
- Experience in a fast-paced, multi-stakeholder environment strongly preferred.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Proficiency with project management and productivity tools (e.g., MS Office, Asana, Smartsheet, or similar).
- Strong problem-solving skills with attention to detail.
- Ability to work independently, exercise discretion, and maintain confidentiality.
- Collaborative team player who is comfortable engaging with all levels of the organization
