Team Overview

The Information Technology (IT) department at SFM is a strategic partner to every area of the firm, enabling our global operations through secure, reliable, and innovative technology solutions. Our team is organized into specialized disciplines including Infrastructure, Cybersecurity, Application Development, Data Engineering, Cloud Engineering, and Quantitative Development.  The IT team designs, builds, and maintains the systems that power SFM’s decision-making, from trading platforms and data pipelines to secure networks and cloud environments.  Whether partnering with investment teams to develop cutting-edge analytics or working across the firm to enhance operational efficiency, the IT department blends deep technical expertise with a business-first mindset. This combination allows us to respond quickly to evolving needs, innovate with purpose, and maintain the highest standards of security and performance.

 

Job Overview

We are seeking a highly organized, proactive, and resourceful Executive Assistant to support the Chief Technology Officer (CTO), while also serving as a key liaison and coordinator across the entire IT department. This role blends traditional executive support with operational, project management, and strategic coordination responsibilities, working in parallel with the Technology Chief of Staff.

The ideal candidate will be a trusted partner to the CTO and IT management, enabling them to focus on high-impact priorities while ensuring operational excellence. This person will bring a strong interest in technology, business strategy, and organizational efficiency, with the ability to thrive in a fast-paced, high-performance environment that demands discretion and adaptability.

 

Responsibilities

  • Executive Support
    • Manage CTO’s calendar: schedule meetings with internal and external parties; proactively remind of upcoming meetings and commitments as needed
    • Prepare agendas, meeting summaries, notes, presentations, correspondence, memos, board reports, and other write-ups
    • Arrange international and domestic travel itineraries as needed
    • Process expense reports in Workday
    • Anticipate and prioritize the CTO’s needs and help optimize time and effectiveness
  • Departmental Support & Coordination
  • Provide administrative support to the entire IT department, including meeting scheduling, agenda preparation, and room booking
  • Serve as a central point of contact for the IT department, ensuring smooth communication and alignment across all IT sub-departments.

 

What We Value  

  • 5+ years of experience as an Executive Assistant, ideally supporting senior executives in technology, finance, or a similarly fast-paced environment
  • Exceptional organizational skills with the ability to manage multiple priorities under tight deadlines
  • Advanced proficiency in Microsoft Office Suite, collaboration tools (e.g., Teams)
  • Excellent verbal and written communication skills; able to interact professionally with all levels of the organization
  • High level of discretion and professionalism in handling confidential information
  • Proactive and resourceful, with the ability to anticipate needs before they arise
  • Comfortable working independently while collaborating effectively with diverse teams
  • Detail-oriented with a continuous improvement mindset
  • Flexible and adaptable to shifting priorities and fast-changing business needs
  • Interest in technology, operations, and business strategy

 

 

We anticipate the base salary of this role to be between $100,000-$125,000. In addition to a base salary, the successful candidate will also be eligible to receive a discretionary year-end bonus.
