Job Overview
We are seeking a highly organized, proactive, and detail-oriented Office Manager / Executive Assistant to oversee the smooth operation of our office and provide direct support to an executive. This hybrid role requires a resourceful professional who can manage day-to-day office administration while also anticipating the needs of the executive and ensuring their time is optimized. The ideal candidate thrives in a fast-paced environment, has exceptional communication skills, and enjoys juggling a wide variety of responsibilities.
Major Responsibilities
Office Management
- Oversee daily office operations, including facilities management, vendor relationships, and supply inventory.
- Manage expense tracking and invoice processing as needed
- Serve as the main point of contact for IT support, building management, and service providers.
- Coordinate onboarding and offboarding processes for employees, ensuring a seamless experience.
- Maintain office policies and procedures, ensuring compliance with company standards.
Executive Assistance
- Provide proactive calendar management, including scheduling meetings, and prioritizing requests.
- Coordinate complex travel arrangements, including flights, accommodations, and itineraries.
- Prepare and edit correspondence, reports, and presentations for the executive.
- Handle confidential information with discretion and professionalism.
- Assist with meeting preparation: agenda setting, document gathering, and minute-taking.
- Monitor and manage incoming emails and calls, prioritizing and responding where appropriate.
- Act as a liaison between the executive and internal/external stakeholders, ensuring timely follow-up.
What We Value
- Bachelor’s degree preferred or equivalent professional experience.
- 5+ years of experience in office management, executive assistance, or a related role.
- Strong organizational, multitasking, and problem-solving skills.
- Excellent verbal and written communication abilities.
- High level of discretion and professionalism with sensitive information.
- Advanced proficiency in Microsoft Office Suite & Workday
- Ability to work independently and take initiative in a dynamic environment.
We anticipate the base salary of this role to be between $110,000-125,000. In addition to a base salary, the successful candidate will also be eligible to receive a discretionary year-end bonus.
