THE POSITION

As Fast Forward’s first Fundraising Operations Manager, you’ll report directly to the Vice President of Fundraising and Partnerships and serve as the operational heartbeat of the team. You’ll build the systems and structures that keep everything running smoothly, from data strategy to stewardship workflows. You’ll also collaborate closely with teammates to generate insights and empower fundraisers to do their best work.

You bring structure and clarity to complex systems, turning information into actionable insight. You’ll manage our CRM, refine key workflows, lead grant reporting, and ensure our data and processes strengthen meaningful relationships across our donor community.

We’re looking for someone who excels at translating big-picture strategy into day-to-day execution, leverages a CRM to drive operational excellence, and finds joy in creating order that helps mission-driven teams thrive.

This is a full-time, in-office role based in the Presidio in San Francisco, CA.

PRIMARY RESPONSIBILITIES 

CRM and Systems Leadership

  • Own HubSpot strategy, structure, and optimization to ensure consistent, actionable data.
  • Audit, clean, and maintain partner records, ensuring data integrity and accuracy.
  • Document and maintain fundraising gifts to ensure accurate revenue reporting and forecasting.
  • Build dashboards and reports that surface insights for fundraising strategy and leadership decision-making.
  • Evaluate and implement new integrations to foster collaboration and streamline fundraising workflows.

Operational Strategy and Project Management

  • Translate fundraising strategy into efficient systems, processes, and tools that help the team work smarter and stay aligned.
  • Lead project management of donor pipelines, grant deliverables, and stewardship activities.
  • Design templates  and workflows to improve accountability and cross-team visibility.
  • Support forecasting and revenue tracking through data analysis and system improvements.

Fundraising Enablement and Stewardship

  • Craft high-quality grant reports by collaborating with the Fundraising, Programs, and Marketing & Communications teams to gather data, stories, and impact metrics that demonstrate organizational impact.
  • Coordinate across teams to ensure timely, accurate, and complete submission of all grant reporting requirements.
  • Manage systems for donor engagement from prospecting through stewardship.
  • Oversee preparation and follow-up for donor meetings and proposals.
  • Partner with the team to design scalable processes for personalized donor outreach and event follow-up.

WHO WE'RE LOOKING FOR

  • Experience in sales operations or fundraising operations.
  • Proven success managing and optimizing CRM systems (HubSpot experience strongly preferred).
  • Strong analytical and systems-building skills; you see patterns, streamline processes, and love clean data.
  • Exceptional attention to detail, especially when it comes to data integrity and revenue accuracy.
  • Excellent project management, prioritization, and cross-functional communication skills.
  • Experience supporting or partnering with fundraising or sales teams in a high-growth or mission-driven environment.
  • High integrity, initiative, and attention to detail; you anticipate needs before others do.
  • Passion for Fast Forward’s mission and the role technology plays in driving social good.

COMPENSATION 

Salary: $100,000 - $110,000 - negotiable depending on experience.

Note: In accordance with federal, state, and local safety guidelines, this role is expected to be performed in-person, in San Francisco.
