Executive Assistant
About Ferocia
We're the team behind Up, but under the hood, we're Ferocia - a passionate tech company driven by financial inclusion. Since 2011, we've been crafting innovative financial tools, starting with the digital platform for Bendigo Bank. We believe technology can empower everyone, from the advantaged to the disadvantaged, which is why Up was born.
Now, as part of the Bendigo and Adelaide Bank family, we combine the agility of a small company with the reach and stability of a major player. Together, we're carbon neutral, community-focused, and dedicated to high standards of corporate governance. Our mission? To leverage technology to help Australians move from financial stress and anxiety to a place of confidence and empowerment.
Want to join us? We'd love to hear from you!
The role
We are looking for an Executive Assistant to support two of the Senior Leads in our growing business. To kick it off, you’ll be partnering with our Head of Customer Experience, Nektarea Cameron-Smith, and you will be introduced to your second Senior Lead soon after starting - we are still working out who that lucky ducky will be in the background.
We are early in our journey of having EAs support us and so far we are LOVING the two incredible EAs who joined us earlier this year. We are excited for you to show us what we don’t know or could be doing differently - but based on what we’ve learnt so far, we can tell you that the functions we need this role to deliver are:
- Diary + inbox management - using both MS Office and Google Workspace suites simultaneously.
- Managing travel arrangements - largely but not exclusively domestic.
- Communication with internal and external stakeholders.
- Preparing and refining presentation materials.
- Building relationships within the business and the EA community in the wider Bendigo Bank group.
- Generally ensuring your exec is at the right place, at the right time, with the right information.
- Bonus points if you are a foodie, we love our monthly lunches at new venues in the city 🙂
You will have the opportunity to make this role your own and define what good looks like. We are looking for someone who has played in this space before, is incredibly confident in their ability to provide support to two Senior Leads in our business at the same time, and who values the importance of clear and regular communication.
You will need to be able to confidently speak to your experience supporting leads with different needs and priorities, along with tell us about what systems and tools you put in place to ensure your lead thrives.
What we are not looking for is:
- Someone to sit at the reception desk - we don’t have one!
- An office manager - we already have one of those and she’s great. We might just get you to help out every now and then.
While needs will change according to what’s on the calendar, we anticipate you’ll need to be in our Melbourne CBD office 2-3 days per week on average. For this reason we can only consider candidates who currently reside in Melbourne.
What we're looking for
- 5+ years of demonstrated experience as an executive assistant.
- Ability to prioritise effectively and manage calendars accordingly.
- You have a keen eye for detail and pick up on the “little things”.
- Superior time management and organisational skills.
- Extensive experience with the MS Office suite and Google Workspace.
- Experience with Notion / Figma / Slack will be an advantage. We are heavy on the Slack!
- A positive outlook, a great sense of humour, and a strong sense of resilience.
About you
- You have a high level of initiative and a bias towards action.
- You’re cool and composed under pressure.
- High emotional intelligence and able to build rapport with stakeholders at all levels.
- You’re impeccable with your word - when you say something will happen, it happens.
- Your trustworthiness with confidential information is beyond reproach.
Interview process
More details will be provided on application, but all applicants will go through the same stages:
- Intro chat with Jess and Mon, our two EAs! — 30 min
- An interview focusing on values alignment, with Lauren (Head of People & Culture) and Lea (Senior HR Business Partner) — 30 min
- An interview focusing on your skills and past experience, with Nektarea (Head of Customer Experience) and another Senior Lead — 60 min
- Reference check
- Offer!
Note: we are looking to move swiftly and are ready to hire!
#LI-Hybrid
Working at Ferocia
We have a hybrid work culture where people can attend the Ferocia office as much or as little as makes sense for them, but we are currently only hiring in Melbourne (or adjacent areas) as we still value physically getting together at least a half-dozen times per year.
We offer:
- A small team of passionate people
- Generous leave and parental policy
- Flexible working schedule
- Great city office and perks (rooftop, gym and personal trainer, games…)
- Budget for personal development, training, and conferences
- Employee Assistance Program via Sonder
- Home loan rebates for our loans (conditions apply)
- Ongoing equity grants (conditions apply)
Not quite ticking every box? Throw your hat in the ring anyway! At Ferocia, we're all about shaking things up and rewriting the rules. We thrive on diversity and inclusion, and we wholeheartedly encourage you to step up and shine. Let us be the judge of your qualifications for this role – you just might surprise yourself!
