Role Overview:
The HubSpot Automation Specialist is the dedicated builder behind First Connect's carrier and partner automation, a fast-growing portfolio of 600+ workflows that power how independent agents get access to carriers and partners on our platform. These are highly complex, multi-branch automated processes with deep conditional logic, cross-object dependencies, time-based delays, and custom code actions. This role owns that workflow library and supports inbound workflow needs from Sales, Support, and Account Management teams to drive operational automation and efficiency. Working in close collaboration with the CRM & Automation Admin, Director of Agency Marketing Operations, and Product team stakeholders, the Specialist executes on defined specs with precision and a deep understanding of CRM infrastructure and HubSpot objects, including custom objects.
What You’ll Do:
- Carrier Automation Ownership: Build and maintain existing complex partner workflows including new workflow construction, ongoing optimization, error monitoring, and resolution of workflow failures or enrollment issues. Many of these are large, multi-branch workflows with dozens of decision paths, cross-object dependencies, and intricate enrollment logic that require careful design and testing.
- Sales, Support & Account Management Workflow Execution: Build and deploy HubSpot automations that operationalize defined processes for Sales, Support, and Account Management teams (notifications, task creation, property updates, list management, ticket routing, deal automation, pipeline stage progression, lifecycle stage transitions, and lead scoring logic) to drive operational automation and efficiency across teams.
- Product & HubSpot Integration: Work closely with Product team stakeholders to ensure data sync and operational flows between Product systems and HubSpot are functioning correctly. Maintain integrations across Zapier, webhooks, and direct APIs, troubleshooting sync issues and building workflows that support cross-system handoffs.
- Workflow Maintenance & QA: Monitor active workflows for enrollment errors, action failures, and unintended behavior. Perform root-cause troubleshooting, implement fixes, and escalate complex architectural issues to the CRM & Automation Admin.
- Workflow Improvement & Consolidation: Proactively identify opportunities to improve, simplify, and consolidate workflows. Recommend better ways to structure automation logic, reduce redundancy, and optimize the workflow library for performance and maintainability.
- Documentation & Governance: Maintain clear documentation for every workflow built or modified, including purpose, enrollment criteria, branching logic, and dependencies. Adhere to established naming conventions, folder structures, and governance standards.
Must Haves:
- 3+ years of hands-on experience building complex HubSpot workflows in a Marketing, Sales, or Revenue Operations environment.
- HubSpot certifications and Academy courses taken in Workflows.
- Bachelor's degree in Marketing, Business Administration, Management Information Systems, Business Analytics, Computer Science, or a related field.
- Deep understanding of CRM infrastructure and all HubSpot objects, including standard objects (contacts, companies, deals, tickets) and custom objects, with proven experience working with these objects inside workflows.
- Expert proficiency in HubSpot Workflows, including object-based automations, webhooks, custom code actions, branching logic, and cross-object property syncing.
- Strong knowledge of HubSpot ticket pipelines, deal pipelines, and lifecycle stage automation.
- Demonstrated ability to execute accurately against written specifications and to recommend workflow improvements based on patterns observed across the platform.
- Strong attention to detail with naming conventions, folder structure, enrollment criteria, and downstream impact of changes.
- Comfort working through a high-volume request queue with shifting priorities.
- Clear written communication for documentation and ticket/request updates.
Nice to Haves:
- Experience with HubSpot custom code actions.
- Prior experience in insurance, financial services, or another regulated B2B environment.

The base pay range for the role is $75,000 – $85,000. Exact compensation may vary based on several job-related factors that are unique to each candidate, including but not limited to: skill set, experience, education/training, location, business needs, and market demands.
