About the role
We are seeking a highly organized, detail-oriented, and personable Executive Assistant to support Flex’s Chief Financial Officer, Chief Revenue Officer, and Chief Business Officer. These executives are ramping up, reorganizing, and driving cross-functional priorities that are critical to Flex’s growth — and they need a trusted partner who brings both flawless execution and a warm, professional presence.
In this role, you will manage complex calendars, coordinate investor and client-facing meetings, oversee travel and expenses, and provide seamless logistical support for leadership priorities. You’ll also be a polished first impression for key relationships, ensuring every interaction reflects Flex’s culture of warmth, excellence, and professionalism. You will work closely with the Executive Assistant to the CEO, Chief of Staff and Strategy and Operations team to maintain consistency in how we support our leadership team.
This is a hybrid position with on-site expectations of 3+ days per week in our New York Headquarters.
What you’ll do
- Manage and optimize demanding calendars for CFO, CRO, and CBO - balancing competing priorities and ensuring time is spent on high-impact work.
- Coordinate investor, client, and partner meetings with exceptional professionalism and attention to detail.
- Prepare materials and logistics for executive meetings, including agendas, pre-reads, and follow-up documentation.
- Book complex domestic and international travel; manage itineraries, last-minute changes, and travel-related logistics.
- Handle expense management and reporting through Ramp and other internal tools; ensure timely and accurate submissions.
- Act as a welcoming, professional presence in all interactions - whether greeting investors, clients, or colleagues — building trust and setting the right tone.
- Partner with the Executive Assistant to the CEO and Chief of Staff + Strategy and Ops team to ensure consistency across executive support.
- Liaise cross-functionally to consolidate inputs, support leadership communications, and keep top priorities on track.
- Provide support for special projects, client engagements, and leadership events in collaboration with the Office Manager.
Key qualifications
- Proven experience supporting senior executives in fast-paced, growth-oriented environments - typically 5+ years, though we’re open to candidates who demonstrate equivalent capability and maturity to manage multiple C-level leaders and external stakeholders
- Exceptional organizational and project management skills with proven ability to manage complex logistics independently.
Hands-on experience with expense reporting platforms (Ramp strongly preferred) and comfort managing receipts, reimbursements, and approvals. - Demonstrated success booking and managing complex travel for multiple executives.
- Polished, front-facing presence with the ability to confidently represent executives to investors, clients, and senior stakeholders.
- Warm, approachable communication style that builds trust quickly while maintaining executive-level professionalism.
- High degree of responsiveness, proactivity, and judgment under pressure.
- Superb written and verbal communication skills.
- Strong business acumen and ability to synthesize information quickly.
- Proficiency in Google Suite, Slack, and Notion, with comfort using Zoom, project trackers, and expense/travel platforms.
The compensation range for this role will be commensurate with the candidate's experience and Flex's internal leveling guidelines and benchmarks. For working locations in NY/NJ, the base salary pay range will be $120,000-131,000.
