The job

We’re looking for a highly organised and proactive Office Manager to support the smooth day-to-day operations of our Vilnius office, with additional responsibility for business travel coordination for Flo teams globally. This role reports into the Head of Office and Travel.

This is a hands-on operational role combining office administration, workplace coordination, and travel support. You’ll help ensure employees have a seamless experience both in the office and when travelling for business. The role requires someone who is detail-oriented, responsive, calm under pressure, and comfortable managing multiple priorities in a fast-paced, international environment.

You’ll work closely with our on-site Office Manager and internal teams — supporting office operations, coordinating travel arrangements, managing suppliers, and ensuring that day-to-day administrative needs are handled efficiently and professionally.

Please note that our Office team works onsite 5 days a week, with some flexibility when needed.

Your Experience

Must have

  • 3+ years of experience in office management, workplace operations, travel coordination, or administrative operations
  • Experience coordinating international business travel
  • Strong organisational and time-management skills with the ability to manage multiple requests simultaneously
  • Experience working with external vendors and service providers
  • High attention to detail and ability to handle complex logistics
  • Excellent communication and stakeholder management skills
  • Comfortable working in a fast-paced, operational environment
  • Proficiency with Google Workspace, Slack, and spreadsheets

Nice to have

  • Experience in a tech or international company
  • Experience using corporate travel tools (e.g. TravelPerk, Navan, Concur)
  • Previous experience supporting office operations or workplace management

What you'll be doing

Office & Employee Experience (approx. 70%)

  • Support the dedicated Office Manager with day-to-day office operations and act as a backup when needed
  • Help coordinate vendors, suppliers, office logistics, and workplace needs
  • Coordinate selected social activities, employee gifts, anniversary initiatives, and internal gift shop operations
  • Support ad-hoc workplace and employee experience projects as needed

Travel Coordination (approx. 30%)

  • Manage end-to-end business travel bookings including flights, accommodation, visas, and ground transportation
  • Ensure travel arrangements comply with company policies and budgets
  • Act as the main point of contact for employees requiring travel support
  • Manage last-minute travel changes and resolve travel-related issues
  • Maintain relationships with travel vendors and agencies
  • Support planning and logistics for company events, offsites, and team gatherings

Salary starting from 2600 EUR based on experience
