The Role: Office Manager

We're looking for an organized, proactive, and people-oriented Office Manager to own the day-to-day experience of our Soho HQ. You’ll be the person who makes sure our office is welcoming, organized, stocked, and running smoothly—from morning coffee and team lunches to candidate visits, happy hours, new hire arrivals, and everything in between.

This is a highly hands-on role for someone who takes pride in the details and genuinely enjoys making things run better for the people around them. You’ll be a familiar and welcoming face to employees and guests while owning the behind the scenes logistics that keep our office operating at its best.

You’ll work closely with our People team and report directly to our People Operations Manager, while partnering with IT, Finance, leadership, vendors, and employees across the company.

This is an onsite role at our Soho office, Monday - Friday.

What You'll Own:

  • Daily office operations: Help open the office each morning, including preparing coffee, resetting meeting rooms and common areas, and making sure the space is ready and welcoming when employees arrive
  • Workplace experience: Maintain organized, clean, and welcoming common spaces throughout the day and proactively address anything that needs attention
  • Office snacks: Own ordering, stocking, and organizing office snacks, drinks, coffee, and kitchen supplies
  • Team meals: Coordinate office lunches and other team meals from ordering and delivery through setup and cleanup
  • Happy hours & events: Organize recurring happy hours and in-office gatherings, including ordering, setup, logistics, and cleanup
  • Guest & candidate experience: Greet clients, partners, vendors, candidates, and other visitors and ensure they have a great experience from the moment they arrive
  • Office supplies: Manage inventory, place orders, and keep supplies organized and accessible
  • Budget management: Track and manage budgets for snacks, meals, happy hours, and other workplace expenses
  • IT coordination: Serve as a first point of contact for in office technology issues, troubleshoot when possible, and coordinate with our IT partners to get issues resolved
  • Company offsites & events: Be a key partner in supporting company offsites, team-building activities, celebrations, and other company-wide events
  • Vendor coordination: Partner with building management, cleaning services, food vendors, our IT partner, and other office vendors
  • Special projects: Jump in wherever needed on projects that improve the employee experience and help Flowcode operate more effectively

Requirements:

  • Bachelor's degree from a four year college or university
  • 0 - 3 years of professional experience; internships and experience in hospitality, administrative support, front desk operations, coworking spaces, or workplace experience are all relevant
  • Strong organizational skills and exceptional attention to detail
  • Excellent interpersonal and communication skills
  • Comfortable interacting with employees and leaders at every level of the organization
  • Comfortable managing vendors, placing orders, and tracking budgets and expenses
  • Proactive, dependable, resourceful, and willing to roll up your sleeves to get things done
  • Comfortable troubleshooting basic technology and coordinating with IT when additional support is needed
  • Able to be onsite Monday - Friday at our Soho office
  • A service-oriented mindset and genuine interest in creating an exceptional workplace experience

A successful candidate’s starting pay will be determined based on the role, job-related skills, experience, qualifications, work location, and market conditions. The current range for this role is $60 - 65k plus equity.
