Residential Operations Coordinator

We are seeking a highly organized and proactive Residential Operations Coordinator to support the daily operations and maintenance of multiple residences. This role requires strong administrative skills, attention to detail, and the ability to manage a variety of tasks efficiently. The ideal candidate will excel in scheduling, coordinating logistics, and streamlining processes while maintaining clear communication with various stakeholders. They should be adept at problem-solving, anticipating needs, and handling sensitive information with discretion. Success in this role will require a balance of organization, adaptability, and the ability to work both independently and as part of a team.

Core Duties & Responsibilities:

  • Operations Support: Support the day-to-day operations of the residence, ensuring all elements are maintained and functioning properly.
  • Calendar Management: Handle 4 qty property calendars, ensuring all details are meticulously coordinated.This includes working closely with internal and external partners to keep calendars up to date with family, vendor, and staff movements.
  • Record Keeping: Maintain an organized digital filing system for household records, vendor contracts, maintenance logs, and other critical documents.
  • Documentation: Assist with the creation and management of comprehensive household manuals, documenting standard operating procedures
  • Administrative: Assist with general office and administrative duties, such as drafting correspondence, preparing presentations, tracking meeting minutes, and handling confidential communications.
  • Communication: Support coordination of internal communications and collaborate with cross-functional teams and other staff members, to address operational needs.
  • Inventory Management: Regularly restock household and culinary inventory, track usage, and manage purchasing of items such as groceries, toiletries, and household supplies.
  • Errand Running & Household Support: Handle various household tasks, including running errands, delivering flowers, opening packages, and supporting family members with personal requests.
  • Property Fit Up: Transform the space into a welcoming and functional home by incorporating personalized touches that set the stage for a successful, comfortable living experience.
  • Purchasing & Tracking Inventory: Handle procurement for household needs, tracking inventory levels and ensuring that all necessary items are ordered and restocked in a timely manner.
  • Team Player: Participate in team support and cross functional duties. Support household initiatives through proactive project management and administrative tasks, ensuring seamless execution from start to finish.

Qualifications:

  • Exceptional organizational skills with the ability to manage multiple projects and prioritize tasks effectively.
  • Strong administrative capabilities, including document management, data entry, and report generation.
  • Excellent written and verbal communication skills, with the ability to coordinate across various teams and stakeholders.
  • High level of discretion and confidentiality, especially when dealing with sensitive information related to family, business, and personal matters.
  • Demonstrated ability to take initiative, foresee challenges, and proactively address potential issues before they arise.
  • Calm, collected, courteous, and friendly demeanor when communicating with cross-functional teams and contractors while maintaining a strong sense of etiquette
  • Team Player: Connects with coworkers, leaders and external vendors in an effective  manner. Considers how his/her actions affect other groups or team members. Models a  spirit of cooperation with other members of the work group. Works effectively and  cooperatively across groups.

Salary Range

$118,000 - $160,000 USD
