The Advance Manager will oversee and execute all aspects of on-the-ground logistics for a private UHNW family, ensuring seamless, secure, and anticipatory travel experiences. This role involves meticulous planning, high-level coordination with security personnel and internal family operations while delivering on the family’s elevated standards for service, privacy, and flexibility.
Core Duties & Responsibilities: Management and implementation of comprehensive, high-end travel itineraries (flights, accommodations, ground transport, dining).
- Plan and manage comprehensive travel itineraries, including private/ commercial flights, luxury accommodations, ground transportation, and high-end dining.
- Conduct site advances for domestic and international travel to vet logistics and implement security protocols.
- Serve as point-of-contact between family operations, household staff, and third-party service providers.
- Coordinate and collaborate closely with the family’s security team to align on safety protocols and situational awareness.
- Develop contingency plans for weather events, geopolitical disruptions, or other emergencies.
- Lean on-site responses during any travel-related incident or delay, ensuring discretion and rapid solutions.
- Coordination with Family Operations and Security to ensure seamless integration with family activities.
- Ensure the family’s safety protocols are followed and adapt plans as necessary to address security concerns.
Skills & Work Requirements: Minimum of 10 years of experience in travel planning, logistics, or a related field.
- 10+ years of experience in high-end travel planning, private aviation, military advance logistics, or high-net-worth family logistics.
- Strong operational knowledge of travel security procedures, experience coordinating with security professionals, and risk mitigation strategies.
- Fluent in the use of travel and itinerary management tools and software (e.g.Sabre, WorldMate, Google Workspace).
- Exceptional problem solving skills and emotional intelligence.
- Excellent communication and negotiation skills.
- Ability to remain calm under pressure and handle last-minute changes and emergencies efficiently.
- Discretion, loyalty, and the ability to work in sensitive, high-pressure environments.
- Bachelor’s degree; additional certifications in security, logistics, or hospitality a plus.

Salary Range
$139,000 - $185,000 USD
