Client Service Officer (Fixed Term Contract)

Position Summary

We are seeking a motivated and detail-oriented Client Service Officer to join us on a fixed-term contract through the end of April. This role plays a key part in supporting our financial advisers by managing client data, documentation, and implementation processes. It’s an excellent opportunity for someone with strong administrative skills and an interest in financial planning to gain valuable experience in a professional services environment. While much of the work involves data entry and client documentation, the ideal candidate will also be comfortable corresponding with clients via email and coordinating key steps in the client service process.

This role can be located in Sydney, Australia or Melbourne, Australia. 

 

Primary Responsibilities

  • Populate XPlan with client Fact Find information ahead of meetings.
  • Download and prepare client reports from Xplore.
  • Update Fact Find data in XPlan following client meetings.
  • Draft and issue Letters of Engagement via Annature.
  • Send client risk profile questionnaires using Finametrica.
  • Prepare and issue application forms for recommended products (e.g., Hub24, industry super funds, etc.).
  • Manage the implementation process from start to finish, including:
    • Account establishment
    • Cash and asset transfers
    • Investment trades
    • Account closures
  • Maintain accurate client records and ensure all documentation is completed in a timely and compliant manner.

Qualifications

  • Prior experience in financial planning, wealth management, or professional services administration preferred.
  • Intermediate skills in XPlan (essential); familiarity with Xplore, Annature, Finametrica, and/or Hub24 advantageous.
  • Strong attention to detail and accuracy in data entry and document handling.
  • Excellent written communication skills, particularly in client email correspondence.
  • Ability to manage multiple tasks, priorities, and deadlines in a fast-paced environment.
  • Strong sense of ownership and accountability for end-to-end implementation processes.
  • Certificate or diploma in business, finance, or related discipline (preferred).
  • XPlan training or certification (highly regarded).
