
Office Support Specialist
Position Summary
Focus Partners Wealth is seeking a Office Support Specialist. As a member of the Office & Administrative Support team, this role plays a critical role in delivering an unparalleled client experience and advancing the mission of our business: to design, build, and protect financial lives. Working in tandem with our other office departments, the Office Support Specialist will be instrumental in creating a welcoming atmosphere for clients and associates alike, greeting them with a warm smile, a spirit of care, and providing support through a variety of administrative and office management functions for their designated advisory team.
This role is in in office five days a week from 9am - 3pm (30 hours per week).
Primary Responsibilities
- Presence in the office – being physically present in the assigned office on most business days
- Managing the phone system - answering inbound calls, taking messages, and responding to voicemails
- Managing mailing and shipping for all office locations - distributing daily mail, shipping packages, scanning/printing, and coordinating outgoing packages with mail and shipping vendors
- Maintaining the appearance and functionality of shared spaces – submitting requests to the team when conference rooms, break rooms, patios, and other public spaces require maintenance; ensuring that every space is safe, clean, and inviting
- Providing concierge services to advisory team in supporting clients and/or inhouse events – ordering meals, making reservations, calling for taxi/car service, etc
- Utilizing FreshService and Salesforce systems for task management – providing administrative support to designated location’s advisory team, including assisting with one time and/or recurring special projects; ensuring our associates understand how to use FreshService and Salesforce to submit requests and monitor progress; maintaining service level standards
- Onsite event support – assisting the Client Experience team in delivering internal and client events; preparing materials and providing onsite support as needed
Qualifications
- High School/GED required, college attendance is helpful (may be substituted in lieu of direct work experience)
- At least 2 years’ experience on a Client Service, Hospitality, or Reception/Office Support team
- Competency with Microsoft applications (Word, Excel, TEAMS, and Outlook)
- Experience using customer relationship management (CRM) software and online shipping services
- Hands on experience with office equipment (understanding connectivity and use of printers, scanners, phone systems, and postage machines)
This position is a non-exempt position. The annualized base pay for this role is expected to be $22.00 per hour base salary compensation range. Actual base pay may vary based on factors including, but not limited to, experience, subject matter expertise, geographic location where work will be performed, and the applicant’s skill set. The base pay is just one component of the total compensation package. Other rewards may include an annual cash bonus and a comprehensive benefits package, including but not limited to medical, dental, vision, life insurance, and 401(k). Please note that the job title is subject to change based on the selected candidate’s experience and education.
