
Events Associate
Position Summary
Focus Partners Wealth is seeking an Events Associate to join our team! The Events Associate will aid the Events Team and support the orchestration of virtual and in-person events for wealth management advisors as well as their clients. This position is an integral part of team responsible for successful execution of events across the attendee journey—from pre- to post conference communications and measurement of success. We’re looking for a highly skilled Events Associate to make these gatherings effective, cost-efficient, and most importantly, memorable. The ideal candidate will have his or her hands full supporting the Events Team.
This position requires the ability to learn and/or knowledge of virtual event platforms (such as Cvent, Zoom, Socio), strong project management skills, a willingness of supporting both in-person and online events. You will contribute to the complete planning and tracking of event programs, with assigned tasks assigned by the Events Manager and Head of Event Strategy.
Focus provides team members the flexibility to work a hybrid schedule. Our hybrid model is defined as 3 days in office work required per week, while giving team members the option to work remotely 2 day per week, or as assigned by their team leader.
Primary Responsibilities
- With direction of Events Manager and/or Head of Event Strategy, coordinate the day-to-day administration of events and programs including placing orders, BEO review, monitoring vendors, travel planning, restaurant reservations, facilitating company attendees, monitoring registration, tracking RSVPs, answering questions and resolving issues.
- Understand requirements for each event and act quickly to resolve problems
- Support planning events with Events Manager which includes attention to financial and time constraints
- Generate reports as needed for registration, housing, and to evaluate event’s success
- Daily utilization of Cvent
- Develop content for event materials and draft copy of invitations, registration, websites
- Continued Education tracking and submission post event.
- Create and maintain events page in Asana for project management tracking
- Events marketing support for project management tasks, i.e., creation of marketing assets and materials such as invitations, conference signage, swag
- Source and research vendors such as venues, caterers, transportation, etc. based on creativity, quality and cost
- Adhere to budgets
- Manage all event set-up, tear down, and follow-up processes.
- Coordinate and manage HQ office events
- Onsite event management assistance for conferences to include onsite support, changing signage, registration, and check-in
- Catering Requests –research and order catering and meals for advisor requests as needed, for groups of 15+ attendees
- Order and track internal associate gifts and client gift requests, including but not limited to marriage, baby, sympathy
Qualifications
- Bachelor’s Degree required
- Exceptional interpersonal, verbal communication skills are required for interaction with various audiences and executives
- Self-starter, capable of multitasking and managing time and multiple priorities effectively, with direction and support of Head of Event Strategy
- Ability to remain calm under pressure without losing a customer-service oriented attitude
- Capacity to embrace changing circumstances and handle appropriately
- Ability to lift/carry 50 lbs. to support in event set ups
- Ability and willingness to travel as needed
This position is a non-exempt position. The annualized base pay for this role is expected to be $50,000 - $55,000 base salary compensation range. Actual base pay may vary based on factors including, but not limited to, experience, subject matter expertise, geographic location where work will be performed, and the applicant’s skill set. The base pay is just one component of the total compensation package. Other rewards may include an annual cash bonus and a comprehensive benefits package, including but not limited to medical, dental, vision, life insurance, and 401(k). Please note that the job title is subject to change based on the selected candidate’s experience and education.
