Position Summary

The Associate, Wealth Management role is a client-facing advisory support role supporting Advisors by coordinating advice processes, preparing proposal, review and pitch documentation, managing portfolio transactions and supporting a high-quality client experience.

This role is located in Syndey, New South Wales, Australia.


Primary Responsibilities

Advisor and Client Support 

  • Provide day-to-day support to Advisors to help deliver a consistent and responsive client experience. 
  • Assist with client meeting preparation, including review packs, pitch documents, portfolio information and follow-up actions. 
  • Respond to client and advisor queries relating to portfolios, reports, transactions and administration within role scope, escalating where required. 
  • Develop trusted working relationships with clients, Advisors and internal teams through clear, timely and professional communication. 

Advice Process and Documentation 

  • Manage and track the advice process, ensuring file notes and records are complete, accurate and up to date in Fin365. 
  • Prepare and review proposal documents, review documents and supporting materials for Advisor review and client meetings. 
  • Collate relevant client information, portfolio data and supporting documentation to assist Advisors with recommendations and reviews. 
  • Maintain high standards of record keeping, documentation quality and follow-through on advice-related actions. 

Portfolio Administration, Trades and Settlements 

  • Manage or support portfolio transactions, including asset transfers, trades, settlements and related follow-up actions. 
  • Work with the Middle Office team to engage their support on repeatable operational tasks such as account opening and client onboarding.
  • Monitor outstanding tasks, deadlines and dependencies to ensure portfolio and client actions are progressed efficiently. 
  • Maintain accurate client and portfolio data across relevant systems. 

Investment and Market Support 

  • Prepare portfolio reporting, analysis and supporting information for Advisor review. 
  • Contribute ideas and observations from client work, market discussions and internal meetings. 

Client Relationships and Communication 

  • Maintain client trust through consistent, reliable and professional engagement. 
  • Communicate clearly with clients in a way that is practical, respectful and easy to understand. 
  • Anticipate client needs where possible and deliver within role scope, referring to Advisors or other specialists when additional expertise is required. 
  • Support positive client outcomes while prioritising the interests of clients and the firm over individual or team preferences. 

Compliance, Risk and Professional Standards 

  • Understand and operate within Escala’s compliance framework, internal policies and Code of Conduct. 
  • Escalate potential compliance, operational or client issues promptly to the relevant Advisor, Manager or Compliance team. 
  • Complete required mandatory training and CPD obligations relevant to the role. 
  • Maintain accurate documentation and support a strong risk and quality culture. 

Growth, Business Development and Continuous Improvement 

  • Build capability in business development by recognising when client opportunities may be present and raising them with Advisors. 
  • Support prospecting activity through preparation, follow-up and attendance where appropriate. 
  • Participate in networking, learning and development activities aligned to the Advisory Growth Track. 
  • Identify process improvements, service opportunities and knowledge gaps, and participate constructively in change initiatives. 
  • Assist in coordination of client functions and marketing events

Collaboration and Team Contribution 

  • Work cooperatively with Advisors, Client Relationship teams, Compliance, Operations and Investment teams across locations. 
  • Share information openly, support team priorities and contribute to a positive, high-performing and collaborative culture.
  • Demonstrate behaviour aligned to Escala values and the One Escala ethos. 

Qualifications

  • Experience in wealth management, financial advice, investment, client service or advisory support, ideally within a HNW or UHNW client environment. 
  • Demonstrated experience supporting Advisors or client teams with client servicing, portfolio administration, review preparation or advice-related processes. 
  • Sound understanding of client account structures, portfolio transactions, investment administration and client reporting. 
  • Experience using financial advice, CRM, portfolio or trading systems such as Fin365, Xplan, IRESS or TradeCentre is desirable.
