At Foresight, the Intensive Treatment Services (ITS) Office Coordinator is responsible for the initial contact and is the face of the IOP and PHP program. The coordinator will welcome potential, new, and existing clients and always have them feel welcome. The coordinator will provide daily office/program support by answering calls, maintaining office space, answering client questions, and supporting staff.

As an ITS Office Coordinator, you will:

  • Greet visitors in a friendly and professional manner.
  • Maintain a welcoming and pleasant front desk environment. 
  • Ensure the office is well-kept and presentable for clients and staff.
  • Responsible for sorting and distributing mail, packages, faxes, etc.
  • Responsible for inventory and ordering of office and food and beverage supplies.
  • Provide daily office/program support by answering calls, maintaining office space, answering client
    questions, and supporting staff.
    • Communicate and respond promptly to staff, client, and non-Foresight messages and
      emails.
  • Attend scheduled in-person and virtual meetings on time
  • Resolve client complaints and concerns with empathy and respect
  • Create and manage client charts with correct client information
    • Charge clients’ credit cards on file for program services
  • Assist in verifying benefits and gaining prior authorizations for client treatment, and schedule necessary client appointments for ITS staff
    • Discuss client treatment costs post verification of benefits and prior authorization
    • Notify staff of outcomes to verification of benefits and prior authorizations for client
      treatment
  • Complete vital signs for PHP clients, as needed, and report vitals to the PHP RN for
    documentation
  • Pull reports as needed

What We're Looking For:

  • Minimum of high school diploma or GED required. Associate’s degree in medical
    office or related field preferred
  • CNA certification or LVN license preferred
  • Experience preferred in a health care environment, specifically in mental health
  • Experience with Electronic Health Record (EHR) systems
  • Good judgment, problem-solving and decision-making skills
  • Strong written and verbal communication skills
  • Strong organizational skills with ability to prioritize projects, work relatively independently, manage multiple tasks, meet deadlines, and communicate with manager and coworkers as appropriate regarding work related matters
  • Proficiency with software and/or equipment (Google Suite applications)
  • Knowledge of clinical operations and procedures
  • Knowledge of legal and ethical issues related to patients' rights including protection of
    client information at all times as required by HIPAA
  • Ability to work for prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at a time.
