Who we're looking for:
The Administrative Assistant will play a crucial role in ensuring the efficient functioning of our psychiatric services. This position involves a variety of administrative tasks including managing patient appointments, maintaining full schedules, and handling various administrative tasks such as prior authorizations and prescription refills. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to multitask in a fast-paced environment.
Please note: This is a full-time position and will be fully virtual.
What you'll be doing:
Patient Confirmation:
- Contact patients to confirm upcoming appointments.
- Reschedule or cancel appointments as necessary.
- Maintain accurate and up-to-date patient record.
Schedule Management:
- Ensure the provider schedules are fully optimized and appointments are appropriately filled.
- Manage waitlists and fill last-minute cancellations promptly.
- Coordinate with other staff to ensure smooth patient flow.
Administrative Support
- Assist with prior authorizations for medications and treatments.
- Assist with timely processing prescription refill requests.
- Ensure all adminsitrative tasks related to patient care are documented in the medical chart.
- Assist with billing and insurance related tasks as needed.
Communication
- Take clear and precise messages, assuring they are placed in appropriate location for communication.
- Take messages off assigned voice mail lines, returning calls promptly and following through with requests.
- Serve as point of contact for patients, both in person and over the phone.
- Liasie between patients, healthcare providers, and pharmacies.
- Provide patients with necessary non-clinical information and instructions.
- Assist with other administrative duties as required.
- Maintain standards of confidentiality and participate in unit compliance.
- Accountable for improving patient care through adherence to all patient safety and quality standards, regulations, and best practices.
- Any other duties, as assigned.
What you'll need:
- Bachelor's Degree preferred or equivalent in years of experience.
- Two years of administrative/front desk experience preferred, including knowledge of medical terminology/abbreviations and physician office/hospital operations.
- Familiarity with electronic health records (EHR) and practice management software.
- Proficient in Microsoft Office Applications (Excel, Word, PowerPoint).
- Ability to work independently, with a strong work ethic, self-motivation and problem-solving skills.
- Attention to detail and high level of accuracy.
- Excellent communication skills, both written and verbal.
- Compassionate and patient-focused attitude.
