We’re seeking a proactive and highly organized Executive Assistant to support our leadership team and help drive operational excellence in a fast-paced startup environment. This full-time, onsite role is ideal for someone local to Philadelphia who thrives in dynamic settings, has experience supporting senior executives, and brings project management know-how (especially with tools like Monday.com), and HR administration experience is a plus.

You’ll be at the center of coordination across our executive leadership team—anticipating needs, managing logistics, and keeping key projects and priorities on track. You’ll help ensure smooth day-to-day operations while contributing to the long-term effectiveness of our leadership team.

Key Responsibilities

  • Manage complex calendars, scheduling, travel arrangements, and meeting logistics for the CEO and executive team

  • Prepare executive materials, including presentations, reports, and internal communications

  • Support project management initiatives—track tasks and timelines in Monday.com and follow up on action items across teams

  • Coordinate leadership meetings, document agendas, take notes, and ensure timely follow-up
  • Coordinate company-wide meetings such as all-hands, quarterly business reviews, goal review meetings, document and distribute agendas, and ensure timely follow-up

  • Handle confidential information and internal communication with professionalism and discretion

  • Manage expense reports, office supplies, vendor coordination, and day-to-day administrative support

  • Provide occasional HR administrative support (onboarding tasks, scheduling interviews, organizing HR documents, etc.)

  • Serve as a liaison between internal teams and external stakeholders (partners, clients, vendors)

  • Stay one step ahead—anticipating the needs of the executives and resolving issues before they arise

What We're Looking For

  • 3–5 years of experience supporting executives in a fast-paced startup or growth-stage company

  • Based in Philadelphia, PA

  • Demonstrated project management experience—familiarity with Monday.com strongly preferred

  • Strong organizational skills and the ability to manage multiple priorities at once

  • Excellent written and verbal communication skills

  • Detail-oriented, resourceful, and thrives under minimal supervision

  • Experience handling sensitive information with a high degree of confidentiality

  • Tech-savvy with proficiency in Slack, Google Workspace, and virtual communication tools

  • Experience with basic HR tasks or coordination is a plus
  • Previous experience supporting a CEO or executive team

  • Background in operations or people-related functions

  • Passion for creating structure and improving workflows in fast-moving environments
