Executive Assistant
Foundation Risk Partners, one of the fastest growing insurance brokerage and consulting firms in the US, is adding an Executive Assistant to their Gary Wood Associates team in Miami, FL.
The Executive Assistant provides direct administrative support to the Business Unit President.
Essential Functions:
- Manage the planning and logistics for meetings, events, and travel – including scheduling, catering, hospitality arrangements, offsite engagements, and both business and personal travel planning
- Assist with office logistics across locations in Florida and New York
- Manage recurring administrative tasks, such as weekly lunch orders for the home office
- Compile and organize business quotes and proposals to support informed decision-making by leadership
- Schedule and prepare staff meetings, including drafting agendas and capturing detailed meeting notes
- Track commissions and related financial documentation
- Organize business files, track and document expenses, and prepare and submit accurate monthly expense reports
- Stay informed on office licensing requirements
Competencies & Qualifications:
- Proficient in Microsoft Office Suite, with advanced skills in Excel and PowerPoint
- Strong written communication and business writing skills
- Exceptional attention to detail with a high level of accuracy
- Ability to manage multiple tasks and prioritize effectively
- Client-focused mindset with a commitment to service excellence
- Collaborative team player with a positive, solution-oriented attitude
- Comfortable working in a fast-paced, entrepreneurial environment
Experience:
- Prior experience as an Executive Assistant or in a similar administrative support role
