Client Service Operations, Senior Associate

About the Role
This is a highly skilled, detail-oriented position focused on operational infrastructure, training, and procedural oversight. The Senior Associate will provide critical leverage to the Managing Director of Client Service, ensuring that our training resources, procedures, and standards are well-documented, consistently applied, and tailored to meet the evolving needs of the team.
Key Responsibilities:
- Define and Optimize Workflows
- Provide support with implementing strategic projects aimed at standardization, automation, and process enhancement
- Train and Develop New Team Members
- Customize and lead new hire training based on CSA role and advisor team structure
- Document and Maintain Procedures
- Codify and memorialize Client Service processes, procedures, workflows, and training materials including shared resource libraries, internal documentation, intranet and tools that support knowledge retention
- Project Manage Advisor Transitions
- Support and manage Client Service activities for incoming Advisors including paperwork tracking, onboarding timelines, and reporting
- Drive Team Adoption and Change Management
- Act as the department’s point person for updates related to systems, workflows, vendors, and service protocols
- Departmental Liaison
- Collaborate cross-functionally with other departments such as Ops and Compliance to ensure changes are implemented seamlessly
- Assist in coordinating department meetings, onboarding schedules, and procedural launches
- Ad hoc projects as needed or useful to support the business
Qualifications & Skills:
- Bachelor’s degree (or substantial financial services experience)
- 5+ years of client service experience in financial services, operations or client service roles; RIA and Wealth Management experience preferred
- Proven ability to optimize processes that support internal teams
- Strong documentation, organization, project management and systems experience
- Exceptional communication and interpersonal skills
- Experience mentoring, coaching, and training team members to enhance knowledge and performance
- A proactive mindset with a focus on continuous improvement and collaboration
- Excellent skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Knowledge of Tamarac Reporting System and Schwab Advisor Center are a plus
- Ability to handle confidential information with discretion and integrity

- The expected base salary for this position is $85,000 - $125,000 depending on experience and skill set and, In addition, the position is eligible for a discretionary bonus based on company and individual performance
