We are currently seeking a highly detail-oriented Executive Assistant (EA) to support two senior leaders across a variety of operational, research, and reporting functions. This is not your typical EA role—it goes beyond calendar and inbox management. The ideal candidate will be someone who thrives on working with data, automating workflows, and driving process efficiency.
Key Responsibilities
- Serve as a right-hand support to two executives across day-to-day priorities involving data, operations, and process improvement.
- Track and manage data from various sources, including Amazon, Shopify, and internal systems, to generate insights and business reports.
- Create and maintain Excel-based reports and dashboards with accuracy—must be comfortable manipulating columns, formulas, and large data sets.
- Enter data into pre-designed templates to support sales, marketing, and inventory dashboards.
- Conduct online research for product and pricing analysis—including MAP monitoring, competitor tracking, and industry trends.
- Draft and document Standard Operating Procedures (SOPs) in Word to standardize workflows across teams.
- Support automation of recurring tasks—experience with AI automation tools (e.g., Zapier, ChatGPT, Notion AI, etc.) is a strong plus.
- Assist with executive calendar management, scheduling, and coordination of meetings.
- Occasionally support marketing teams with content uploads (images, basic SEO) on websites or social media.
- Participate in candidate research and assist with interviews as needed for recruitment efforts.
What We’re Looking For
- At least 2 years of relevant experience in an EA, operations, or data-driven admin role.
- Advanced Excel skills are essential—you should be confident in data analysis, pivot tables, and formula-based reporting.
- Strong proficiency in digital tools including Google Search, Amazon, Shopify, Outlook, Teams, and Microsoft Word.
- A proactive, process-oriented mindset with a high degree of ownership and organizational rigor.
- Ability to manage multiple projects with excellent attention to detail and follow-through.
- Strong communication skills—written and verbal—with the ability to interact professionally with internal teams and external partners.
- Experience with AI tools or automation software is a big advantage.
