Job Overview
The Data & Systems Coordinator is an entry-level role focused on processing and executing data-related tasks across multiple departments. While seated in the Systems Development team, this role acts as a central resource for Ticketing, Marketing, Guest Services, and Operations.
The Coordinator will work from structured task lists, handling transactional requests with precision and accuracy. This position is ideal for someone detail-oriented, highly organized, and comfortable working with spreadsheets and databases.
Key Responsibilities
Ticketing
- Execute administrative ticketing tasks such as creating direct links, facilitating additional night requests, and managing purchaser lists.
- Maintain ticket counts and assist with event reporting, under direction from the Ticketing team.
Marketing & Guest Services
- Process customer-facing requests routed from Guest Services, including refunds, updates in the Guest Portal, and package transfers.
- Download, organize, and upload customer lists into marketing platforms (e.g., Klaviyo).
- Assist the Communications Manager with guest segmentation based on package purchases.
Systems Development & Cross-Departmental Support
- Fulfill ad-hoc requests for data sets, including segmentation lists, purchaser exports, and demographic reports.
- Provide accurate data to support campaigns, event operators, and other stakeholders.
Ensure data integrity across systems such as Asana, Guest Portal, and ticketing platforms.
Qualifications
- Strong proficiency in Microsoft Excel (formulas, pivot tables, data management).
- Comfortable working with databases and large data sets.
- Organized, accurate, and detail-driven.
- Ability to manage and prioritize multiple task requests.
- Clear communicator and effective collaborator across departments.
- Prior experience in ticketing, marketing operations, or customer service administration is helpful but not required.
