Payroll Specialist – U.S. Payroll

The Role

We’re seeking an experienced and meticulous Payroll Specialist to manage U.S. payroll operations with absolute precision.

The ideal candidate will have 5+ years of experience managing payroll using ADP Workforce Now or Gusto, with a proven record of accuracy, compliance, and confidentiality. You’ll own every detail of payroll processing, from data validation to post-payroll reporting, ensuring that every employee is paid correctly, on time, and in compliance with state and federal laws.

This is a part-time position ideal for a self-motivated, detail-oriented professional who takes full ownership of outcomes and thrives in a high-accountability environment.

What You’ll Do

• Manage end-to-end U.S. payroll processing on a bi-weekly and/or semi-monthly schedule using ADP Workforce Now, Gusto, or similar platforms.
• Ensure compliance with all federal, state, and local tax regulations, including withholdings, deductions, and filings.
• Maintain and validate employee data for accuracy before each payroll run.
• Manage benefit deductions, reimbursements, bonuses, and commissions with precise alignment to HR and Finance inputs.
• Reconcile payroll accounts, prepare post-payroll reports, and assist with month-end close entries.
• Respond promptly to employee payroll inquiries and resolve discrepancies with professionalism and discretion.
• Support year-end reporting, including W-2s, 1099s, and other statutory filings.
• Partner with Finance and HR to ensure alignment between payroll and accounting systems (ERP/GL).
• Maintain strict confidentiality and ensure 100% data integrity across all payroll activities.

What We’re Looking For

• Experience: Minimum 5 years of experience processing U.S. payroll across multiple states.
• Platforms: Hands-on expertise with ADP Workforce Now and/or Gusto; experience with additional platforms a plus.
• Education: Bachelor’s degree in Accounting, Finance, or HR; CPP certification preferred but not required.
• Strong understanding of U.S. payroll laws, tax compliance, benefits administration, and wage/hour regulations.
• Exceptional attention to detail and a relentless focus on accuracy and timeliness.
• High integrity, discretion, and respect for confidentiality.
• Self-motivated, proactive, and capable of managing deliverables independently.
• Excellent written and verbal communication skills.
