About Frontline Wildfire Defense

Founded in 2017 by landscape ecologist and fire mitigation expert Harry Statter, Frontline developed the first fully integrated wildfire defense system to stop the leading cause of home loss in wildfires: ember-driven ignition. The system combines exterior sprinklers, full-coverage design, and connected software for remote monitoring and response, allowing homes to protect themselves long after families evacuate or infrastructure fails.

Proven effective during the 2025 Los Angeles wildfires, 96% of homes with Frontline systems survived. About This Opportunity

As our Legal Operations Coordinator, you will be the organizational backbone of Frontline’s legal function. Reporting into our Contracts Manager and working alongside our Legal Team, you will own the compliance calendar, the multi-state permitting and licensing pipeline, and the systems that keep the whole department running on time.

Expanding a wildfire defense system across the western United States means clearing a genuine regulatory path in every new jurisdiction - contractor licenses, building permits, registered agent coverage, annual reports. You will own that path: researching what each state and municipality requires, tracking every application, and making sure nothing lapses while the business keeps moving.

This role is a strong fit for someone early in a legal operations, paralegal, or compliance career who wants real ownership rather than task assignment, and who takes satisfaction in being the person who always knows where things stand.

Key Responsibilities

Corporate Compliance & Entity Management

  • Own registered agent monitoring - Maintain registered agent coverage across all jurisdictions and ensure service of process is routed correctly and immediately.
  • Own annual report filings - Track annual report and franchise tax deadlines for every entity, prepare filings, and confirm good standing.
  • Maintain the compliance calendar - Build and own a single calendar of recurring legal and regulatory deadlines, with reminders that trigger well before due dates.
  • Escalate early - Flag upcoming risks, lapses, or unusual jurisdictional requirements to the General Counsel and Contracts Attorney before they become urgent.

NDA & Document Execution

  • Own template NDA execution - Prepare, issue, and execute Frontline template NDAs, routing anything non-standard to the Contracts Attorney for review.
  • Support client documentation - Serve as secondary on direct-client contract paperwork, direct-client NDAs, and homeowner association communication.
  • Manage the signature pipeline - Run documents through e-signature and follow up until fully executed and filed.
  • Back up the contracts team - Provide backup support across contract creation, redlines, and change orders as workload demands.

Knowledge Management & Reporting

  • Own the legal drive - Design and maintain the structure, naming conventions, and permissions for legal files so anything can be found in seconds.
  • Own status reporting - Produce regular, accurate status updates on contracts, filings, licenses, and permits for the legal team and business stakeholders.
  • Build the systems - Create and maintain trackers, dashboards, and workflows that give the department visibility without manual chasing.
  • Improve as you go - Identify repetitive work and propose automation, templates, or process changes that free the team for higher-value work.

Licensing & Permitting

  • Own contractor licensing - Research, track, and complete contractor license applications and renewals across every state where Frontline operates or plans to operate.
  • Own permitting - Research jurisdictional permit requirements, prepare and submit applications, and track status through approval.
  • Map new markets - When Frontline enters a new state or municipality, determine what licensing and permitting is required and build the plan to secure it.
  • Partner with Operations - Coordinate with Construction Operations so field teams always know which jurisdictions are cleared to work in.

Qualifications

Must-Have:

  • 2+ years of experience in legal operations, paralegal support, compliance, permitting, contract administration, or a closely related function
  • Demonstrated ownership of recurring deadlines with a track record of nothing slipping
  • Comfort navigating government and agency portals, filing requirements, and application processes
  • Highly organized with a systems-builder mindset - you create the tracker rather than asking for one
  • Excellent written communication and professional correspondence with agencies and external parties
  • Proficiency with Google Workspace and/or Microsoft Office and e-signature platforms such as DocuSign or Adobe Sign
  • Sound discretion and judgment handling confidential and sensitive information
  • Self-directed and dependable in a remote-first environment
  • Strong follow-through - comfortable politely persisting until you get an answer

Nice-to-Have

  • Experience with contractor licensing or building permits in western U.S. states (California, Colorado, Washington, Wyoming, Oregon, Montana, Idaho, etc.)
  • Paralegal certificate or Bachelor’s degree in legal studies, business, public administration, or a related field
  • Experience with registered agent services (CT Corporation, CSC, Registered Agents Inc., or similar)
  • Familiarity with contract lifecycle management (CLM) or matter management systems
  • Experience in high-growth startups, construction, field services, or climate tech
  • Proficiency with workflow and tracking tools such as Airtable, Asana, Monday.com, or Notion
  • Exposure to corporate entity management across multiple states
