Executive Assistant

New York, New York, United States

  • Anticipate executive needs and proactively address issues before they arise.
  • Handle highly confidential information with discretion and professionalism.
  • Prepare presentations, reports, correspondence, meeting materials, and other executive communications.
  • Process expense reports accurately and in a timely manner.
  • Coordinate client meetings, investor events, conferences, dinners, and other business functions.
  • Build strong relationships across the firm and serve as a trusted partner to senior leaders.
  • Respond quickly and effectively to changing priorities in a fast-paced environment.
  • Collaborate closely with fellow Executive Assistants to ensure seamless support and cross-coverage.
  • Assist with office operations, employee events, and administrative initiatives as needed.
  • Demonstrate a hands-on, team-first mentality and a willingness to contribute wherever support is needed.
  • Take ownership of responsibilities and consistently deliver high-quality work with professionalism and urgency.
  • Coordinate domestic and international travel, including itineraries, logistics, and real-time problem solving.

QUALIFICATIONS:

  • Bachelor's degree preferred.
  • 5-7 years of Executive Assistant experience supporting senior executives.
  • Financial services experience strongly preferred; experience supporting investment professionals, portfolio managers, traders, or senior leadership is a plus.
  • Proven ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Exceptional organizational, communication, and problem-solving skills.
  • Strong calendar management and travel coordination experience.
  • Proficiency in Microsoft Office, including Outlook, Excel, PowerPoint, and Teams.
  • Demonstrated professionalism, discretion, and commitment to confidentiality.
