Overview

The Production Coordinator provides day-to-day administrative and operational support across post-production projects. This role assists producers, editors, and creative teams with project organization, asset management, scheduling, and delivery tracking.

You are proactive, resourceful, and comfortable working in fast-paced environments with shifting priorities. You thrive behind the scenes, ensuring the details are handled so the creative team can focus on the work.

Key Responsibilities

Pre-Production Support

  • Assist in coordinating pre-production timelines, schedules, and deliverable
  • Track project milestones and flag potential risks or delays
  • Assist the team with pickups, asset handoffs, product sourcing
  • Contract documentation and archive maintenance 

Post-Production Support

  • Assist in coordinating post-production timelines, schedules, and deliverables
  • Track project milestones and flag potential risks or delays
  • Support edit sessions by organizing materials and ensuring all necessary assets are available
  • Coordinate file transfers, version control, and final asset delivery
  • Provide light editing support and/or set up files in After Effects to assist the editing team

Asset & Workflow Management

  • Organize and maintain digital assets including footage, graphics, music, and project files
  • Ensure proper naming conventions and folder structures are followed
  • Manage uploads and downloads across cloud platforms and internal servers
  • Archive completed projects according to department standards

Administrative & Team Support

  • Support producers with call sheets, invoices, purchase orders, and expense tracking as needed
  • Coordinate freelance paperwork and onboarding documentation
  • Schedule internal meetings and assist with note-taking and recap distribution
  • Assist in securing post-production vendors when needed

Requirements

  • 0 to 2 years of experience in production, post-production, or related creative fields
  • Strong organizational skills and attention to detail
  • Familiarity with post-production workflows and terminology
  • Working knowledge of Adobe Creative Suite and Google Workspace
  • Strong communication skills and ability to collaborate across teams
  • Ability to manage multiple tasks in a deadline-driven environment
  • Passion for creative production, sport, music, and culture
