Garda is seeking an experienced New York based Executive Assistant to support our Investor Relations team. The ideal candidate will ensure efficient operations within the Investor Relations team function and play an important role contributing to the success of both the team and our valued clients.
This role will also be a part of the Global Admin team at Garda. This Admin team plays an integral role in supporting the success of Garda’s various operational functions and client-service businesses. Behind the scenes of every big meeting, internal group function, and deadline met is the Admin team who ensures each detail is meticulously handled. Our team members work collaboratively and apply their specialized knowledge and experience to help deliver the best service to Garda’s employees and clients.
Position Responsibilities
At a high level this role will provide comprehensive support to the global Investor Relations team through maintaining calendars, arranging travel, preparing, and maintaining documents, as well as helping to manage administrative correspondence both internally with fellow employees and externally with clients. This includes, but is not limited to the following:
- Maintain complex and extremely detailed calendars and prioritize meeting requests and related logistics.
- Handle emails, and phone calls, ensuring timely and appropriate responses.
- Provide coordination and logistical support for meetings (assist with scheduling, room reservations, video requirements, create and edit meeting materials/presentation prep, catering).
- Coordinate internally and externally to plan and manage client road shows and client events.
- Manage any travel arrangement needs across the team, both domestically and internationally, accompanied by detailed itineraries.
- Assist in the planning and execution of strategic initiatives, special projects, and team events, as well as track progress on various projects and ensure deadlines are met and deliverables are achieved.
- Utilize and master existing systems and software to organize and maintain files, records, and documentation.
- Collaborate with the broader Global Admin team across other Garda offices to coordinate tasks and deliverables as assigned.
Qualifications & Desired Skills
- Bachelor's degree and/or 10+ years of experience in similar roles.
- Detail-oriented nature with meticulous execution and strong verbal and written communication.
- Critical and strategic thinking, with the ability to independently problem-solve and create more efficiencies for the team.
- Ability to work effectively in a high-energy, time-sensitive team environment, with multi-tasking skills.
- Demonstrated ability to work professionally with a variety of people at all levels internally and externally.
- Strong team-player attitude; must work well under pressure, be adaptable in the face of changing priorities, and proactive in keeping the team up to date on the status of certain tasks.
- Strong computer skills (Microsoft Office).
- Experience with Notion and CRM systems (Backstop or FolioMetrics preferred).
This role is also eligible for other forms of compensation and benefits, such as a discretionary bonus, healthcare plan, 401(k) matching program, etc. Within the range, individual pay is determined by work location and additional factors, such as job-related skills, experience, and relevant education.
Base Salary for this role is expected to be between:
$90,000 - $125,000 USD
