Program Coordinator

The Health and Life Sciences (HLS) team is looking for an individual to coordinate administrative aspects of program management for our Exemplars in Global Health Program and the Alzheimer’s Disease Data Initiative. This position will require the ability to manage supporting two distinct teams, multiple project deadlines, work collaboratively within the teams and with partners to drive our programmatic efforts' impact. 

JOB DESCRIPTION OVERVIEW

This contracted role will involve day-to-day administrative based program management to ensure Exemplars in Global Health and AD Data Initiative priorities and goals are met.  

Specific responsibilities include:

  • Support internal partners to track their progress on project workstreams, achieve project results and produce high quality deliverables (reports and presentations).
  • Manage existing materials that drive project execution – e.g. project charters, RACI matrices, work plans, trackers, meeting agendas and notes
  • Community management support, including - community management support for HLS initiatives including engagement and communications with respective user communities, content moderations and curation, and management of community forums and tools/process for routine feedback and analytics.
  • Coordinate and facilitate internal project team meetings
  • Make and administratively manage contracts
  • Coordinate external events (as needed)
  • Plan and schedule internal team meetings
  • Support scheduling and planning for external and leadership meetings, including development of workback plans for meeting materials (pre-reads and presentation, maintenance of files)
  • Maintain annual calendar (rhythm of business) for team(s) in support of prioritization and planning discussions.

Qualifications

  • Bachelor’s Degree with 3+ years of project management/coordination experience
  • Excellent communication skills (both written and oral), with demonstrated ability to adapt tone and style as needed
  • Strong interpersonal and relationship-building skills
  • Demonstrated ability to manage and support a wide array of projects to successful conclusion while managing competing priorities
  • Strong analytical and organizational skills
  • Interest in public health content, and a passion supporting processes and systems to enhance program impact
  • Demonstrated attention to detail while maintaining a focus on the big picture
  • Comfortable with highly unstructured and ambiguous situations; ability to proactively identify solutions and create structure for team success
  • Technical acumen and experience and ease in learning new systems
  • Proficient in Microsoft Office (Teams, Outlook, Word, Excel, and Power Point), Adobe Acrobat, Microsoft Dynamics or similar CRM platforms
  • Experience with business process and systems support including SharePoint, document and knowledge management
  • Experience with contract management preferred

Compensation Range:

$31.00-$35.00 per hour
