Summary

This is a full-time, limited term position with the Trips & Strategic Engagements team to support activities for Gates Ventures across global health, energy innovation/climate change, science, education, technology, and philanthropy. This role is primarily responsible for supporting the Trips & Strategic Engagements team in the planning process and advance logistics for trips and engagements to ensure consistently successful trip and event outcomes. This role also focuses on project management; content development for event briefings, engagements, and announcements; and coordination with stakeholders and internal teams.

Responsibilities:

  • Support the planning and execution of Gates Ventures trips and external events including principal travel schedule document (MBM) creation and development.
  • Liaise with internal and external stakeholders, venue managers, vendors, government officials, and community members as appropriate for travel planning and logistics support.
  • Support Trips & Strategic Engagements team with administrative functions including notetaking, agenda management, document management, expense reports, travel booking.
  • Work closely with Executive Office, Security, and programmatic teams to ensure effective coordination of resources and information-sharing around the preparation, staffing, and execution of trips and events.
  • Support Trips & Strategic Engagements team with administrative tasks including meeting scheduling, travel booking, expense reports, agenda creation and note taking.
  • Manage and track event correspondence and scheduling requests (e.g. requests for event attendance, participation, and other varied requests for our principal’s time).
  • Serve as a collaborative liaison and partner to the Gates Foundation, Breakthrough Energy, Microsoft, and other entities connected with Gates Ventures.
  • Support a variety of special projects and VIP engagements for the Trips & Strategic Engagements team.
  • Occasional travel will be required, and some work will be required outside of normal office hours, including occasional evenings, weekends, and holidays.

Qualifications:

  • Bachelor’s degree or higher in addition to the required experience.
  • 2+ years of experience in trip planning and logistics, scheduling and advance, direct principal support, event management, public relations, executive communications, public or corporate affairs.
  • Demonstrated outstanding interpersonal and communications skills, including the ability to write clearly and quickly.
  • Must have a proven track record of working in a dynamic, fast-paced environment, requiring attention to detail while maintaining focus on the big picture.
  • Must be flexible and adaptable to changing situations. Proactive, able to anticipate and solve problems before they occur.
  • Demonstrated experience in maintaining confidentiality and privacy during sensitive situations, and able to use discretion with communications. Must be able to uphold and ensure security and confidentiality of all information.
  • Able to work very well independently, and able to disseminate information clearly and concisely.
  • Demonstrated effectiveness meeting deadlines in a role requiring continual attention to detail in composing, drafting, and proofing materials.
  • Able to work on several projects at a time with constant interruptions.
  • Able to maintain a positive, cooperative, and professional attitude in stressful and time-sensitive situations and circumstances.
  • Flexibility to work a dynamic schedule. Willingness to travel.
  • Must be able to pass Background Investigation including Criminal, Public Records and Credit Checks.

Computer Skills: Position requires proficiency using Microsoft Office (Outlook – Expert, Word, Excel, PowerPoint).

Compensation & Benefits 

The salary range for this position is $130,000-$140,000 per year. Starting salary offers will vary depending on a number of factors, including education, experience, and qualifications. Gates Ventures offers a comprehensive benefits package including  medical, dental, vision, life, and disability insurance and a 401(k) program with employer match. Our benefits also include generous paid time off for vacation, sick leave, and holidays.
