Key Purpose of Role
We are seeking a highly organised and detail-oriented Recruitment and Human Capital Management (HCM) Coordinator to join our Human Resources team. You will play a vital role in driving the recruitment process of both lateral and campus candidates, while also contributing to broader HCM workstreams and projects. The ideal candidate will be passionate about delivering exceptional candidate experiences, ensuring smooth HCM processes, have a tech-savvy mindset and ability to quickly learn new platforms, to help deliver the overall success of assigned work within the HCM function.
Key Responsibilities (this list is not exhaustive)
Candidate Coordination
- Schedule and coordinate interviews between candidates and hiring teams.
- Serve as the primary point of contact for candidates throughout the recruitment process, providing timely updates and answering questions.
- Greet candidates/manage visits throughout time in-office or ensure virtual processes run smoothly
- Coordinate case studies across searches
- Book candidate travel, as needed
- Track and submit candidate expense reports
Communication Management:
- Maintain clear and consistent communication with candidates, recruiters, and hiring managers.
- Send interview confirmations, follow-ups, and rejection notifications as needed through the applicant tracking system (ATS)
Recruitment Process Administration:
- Maintain and update our ATS to ensure accurate candidate records.
- Post jobs internally and externally on job boards; audit postings periodically to close or update
- Prepare and distribute interview materials, including resumes and evaluation forms, to hiring teams.
Data and Reporting:
- Assist in the tracking and reporting of recruitment metrics, such as candidate pipeline status, time-to-fill and source effectiveness.
- Participate in weekly HCM and Recruiting meetings, providing regular updates on recruitment activity and progress
HCM Operations Project Management:
- Effectively assist in planning, executing, and delivering HCM operations projects within scope, time, and budget constraints

Knowledge
Education:
- Qualification in Human Resources Management, Business Administration, or a related field (or equivalent).
- Interest in growing in the recruitment/human capital field
Experience:
- 1-2 years in Recruitment, HCM Operations, or a related administrative role.
- 1 year of recruiting coordination or scheduling preferred, potentially with exposure to campus recruiting processes
Technical Skills:
- Proficiency in applicant tracking systems (ATS), HRIS systems, and Microsoft Office Suite (Word, Excel, Outlook).
- Experience using Lever and/or Greenhouse (ATS) and/or Workday (HRIS) is a plus.
- Experience in project management is a plus

- Excellent written and verbal communication skills, with the ability to interact professionally with candidates, employees, and internal teams.
- Strong attention to detail, time management, and the ability to manage multiple tasks simultaneously.
- A critical thinking and solution-orientated mindset to pro-actively anticipate and troubleshoot scheduling conflicts and HCM project challenges in a timely manner.
- A positive attitude, team-orientated mentality, and a focus on delivering exceptional candidate and employee experience
