Job Title: Administrative Manager

Location: Piscataway, NJ (5 days per week onsite)

Schedule: Monday through Friday from 8:30 AM - 5:30 PM

Compensation: The salary range, dependent upon experience level, is $85,000 - $105,000 annually. 

Language: We are highly preferring a candidate that can speak Mandarin Chinese for collaboration with global stakeholders. 

Overview

We are seeking an experienced and proactive Administrative Manager to lead administrative operations across multiple U.S. sites. This role will oversee office administration, cross-site collaboration, and strategic projects to ensure seamless day-to-day operations and long-term operational readiness. The Administrative Manager will partner with facility, EHS, and construction teams to support major site projects while maintaining uninterrupted business operations.

The ideal candidate will bring a proven track record of project delivery, leadership, and process optimization in a dynamic biotech or life sciences environment.

Key Responsibilities

Leadership & Strategy

  • Lead the administrative function across multiple U.S. sites, ensuring alignment with company goals and operational needs.
  • Develop and execute strategic plans for administrative services, including travel, employee events, vendor management, and cost-saving initiatives.
  • Partner with senior leadership to support site expansions, relocations, and construction projects while ensuring operational continuity.

Project & Operations Management

  • Manage cross-site administrative projects, such as office relocations, renovations, and new site setups, ensuring smooth transitions with minimal disruption.
  • Collaborate with facility and EHS teams to plan and execute construction-related activities while maintaining uninterrupted site operations.
  • Oversee corporate travel platforms and vendor relationships, ensuring efficient travel arrangements and optimized employee travel benefits.
  • Manage company-wide lunch, catering, and snack services with a focus on quality and cost-effectiveness.

Event & Stakeholder Engagement

  • Organize and lead on-site and cross-site events, including executive visits, government activities, industry events, and VIP client engagements.
  • Support external personnel (e.g., expatriates, visiting staff) by providing administrative services and integration events.
  • Act as a liaison between administrative teams, site leadership, and cross-functional departments.

Budget & Process Optimization

  • Manage and track department budgets, implementing cost-saving measures and vendor negotiations.
  • Establish SOPs and best practices for administrative operations across sites, ensuring compliance with company policies.
  • Drive continuous improvement in administrative processes to enhance efficiency, employee experience, and cost control.

 Qualifications

  • Bachelor’s degree with 5+ years of experience in office operations or administrative management, ideally within biotech, pharmaceutical, or life sciences industries.
  • Proven track record of successful project management and delivery (measured by outcomes, not years of experience).
  • Strong leadership and communication skills to influence and collaborate across departments and sites.
  • Experience managing cross-site operations, vendor relationships, and large-scale events.
  • Proficiency in MS Office Suite and office productivity tools.
  • Excellent organizational skills, attention to detail, and ability to prioritize in a fast-paced environment.
  • Bilingual proficiency in English and Chinese is highly preferred for collaboration with global stakeholders.
