What you'll do:
As a Design Operations Manager, your responsibilities combine operational rigor with strategic thinking while connecting the team's daily activities to overarching business goals. Key accountabilities will include establishing and refining our design processes and standards (in our Design Handbook), quantifying the impact of design through data-driven insights, fostering seamless communication and collaboration, and managing the operational framework that supports the entire design team. This position is a unique opportunity to shape how we build and deliver world-class, user-centered products.
How you'll make an impact:
- Streamline and optimize critical and routine tasks and processes within the Design team.
- Manage internal team documentation related to design processes, our design system, research guidelines, and team resources, including a Design RACI.
- Collaborate with product, engineering, and research teams to identify and resolve friction in the end-to-end design lifecycle.
- Oversee UX & Design team onboarding and professional development to ensure new members are set up for success and can quickly contribute value
- Champion the value of design across the organization, establishing clear channels for communicating design progress, research insights, and design system updates to stakeholders.
- Partner with Research Operations to streamline the collection and synthesis of user feedback from support, sales, and direct user engagement, ensuring insights are integrated into the design process.
- Establish and maintain a design communication channel (e.g., newsletters, chat spaces, office hours) to promote transparency and knowledge sharing within the organization.
- Develop systems and processes for qualitative and quantitative data collection to foster a data-informed design culture.
- Define, track, and analyze key design and usability metrics (e.g., UMUX-L, task success rates, time-on-task) and share insights with the design and product teams.
- Support Voice of the Customer (VOC) studies and user-focused surveys, performing analysis to inform design strategy.
- Strategize, design, and execute a program to drive adoption and measure the impact of our design system.
- Own and manage the design tech stack (e.g., Figma etc.) and document best practices in the Design Handbook.
- Develop and deliver training on design tools, processes, and design system usage.
- Support and promote the usage of analytics and user behavior tools (e.g., Pendo) to uncover insights for the design leadership team.
- Coordinate key design rituals, including design critiques, cross-functional design reviews, research share-outs, and strategic planning workshops.
- Partner with Product and Engineering to ensure design quality standards are met throughout the development and release process.
- Support the development of an efficient design planning and prioritization process that aligns with the product roadmap and ensures design resources are allocated effectively.
What you'll bring to the role:
- 3-5 years of required previous experience in any of the following areas: Design Operations, Design Program Management, UX/Product Design with a strong operational focus, Design Systems Management, or Shipped products in a design capacity or have had significant contributions to a design system.
- Deep understanding of the end-to-end design process, from discovery and user research to detailed design, prototyping, and developer handoff.
- Works iteratively and pragmatically, able to shift from high-level strategy down to the finer details.
- A logical and analytical mindset, skilled at identifying operational inefficiencies and quantifying the value and impact of design initiatives.
- Being comfortable with ambiguity, resilient to change, having the ability to adapt, and happy to be challenged, and challenge others.
- Experience managing design and collaboration tools - e.g., Figma, Miro, Zeroheight, Jira.
- Experience with Research Operations (ResearchOps) practices for managing customer feedback obtained through surveys, interviews, usability tests, and other research methodologies.
- Ability to work with both qualitative and quantitative data to inform design strategy and measure impact, using tools like Google Analytics, Superset, etc.
- Experience in a SaaS environment is highly valued.
- Excellent verbal and written communication skills, including comfort with delivering presentations and training.
- Must stay relevant to technology and should have the flexibility to adapt to the growing technology and market demands.
- High accuracy and meticulous attention to detail.
- Strong project management skills; able to identify needs, develop effective solutions and manage projects through to completion.
- Strategic mindset, with a keen sense of priorities, along with an ability to pivot as the landscape changes.
- Experience administering, facilitating, driving adoption and managing software tools in general.
- Experience and confidence in facilitating, as well as presenting at meetings and workshops with large, cross-functional audiences.
- Experience and confidence in working with all levels of the business - from c-suite to individual contributor (IC) level.
