What you'll do

As Document Control Specialist, you'll be at the center of how GIGA Energy's projects actually move: every drawing, spec, and package that flows between Design, Engineering, Procurement, and Construction passes through you. You'll help stand up our document control function on Autodesk Forma from the ground up — building the structure, running the reviews, and keeping every project on a clean, traceable paper trail as we scale across multiple active sites at once. It's a hands-on, high-volume role for someone who wants to build a real system rather than maintain someone else's, and who's energized by a fast pace rather than worn down by it.

Where you'll work

This role is ideally based in our San Francisco, Long Beach, or Houston offices, with full-time onsite expectations outside of bi-weekly WFH Fridays.

That said, we will make exceptions for truly exceptional talent if you live outside one of our hubs. If you're the right person for this role, we'll have a conversation about what works.

Responsibilities

  • Administer document management guidelines and provide governance over document control standards.
  • Create document and drawing review sessions in Bluebeam through Forma (via the ARKANCE Be.Smart Connector) for formal reviews and Concurrent Design Reviews (CDR).
  • Invite discipline reviewers per the project Distribution Matrix, set review periods and comments-due dates, and follow up on outstanding reviews.
  • Compile reviewer comments into the Comment Compilation Log and issue consolidated comments back to the originating issuer via formal transmittal.
  • Maintain a log of all documents in review, including reviewers assigned and comments-due dates, across all active projects.
  • Support project kickoffs by creating placeholders in Forma for all deliverables to be issued, so document numbers and folder locations exist ahead of first issue.
  • Develop and launch new project sites in Forma, applying the standard folder structure and access provisioning.
  • Assemble Procurement packages: Engineering provides the Master Requisition (MR) and an Index only; you compile the complete package from the referenced documents in Forma.
  • Verify all documents in a package are at their current, registered revision before issuance to Procurement.
  • Prepare and issue a weekly progress report covering open transmittals, documents in review, upcoming due dates, and outstanding action items.
  • Provide monthly updates on milestones achieved and open action items.
  • Log new and updated documents in Forma and provide scheduled status reports for project team review.
  • Coordinate with internal project teams to track assignments, outstanding tasks, and project updates.
  • Evaluate document progress and performance, flag problem areas, and recommend corrective action.
  • Support change management processes, procedures, and systems for the project team.
  • Maintain system access in Forma, including permission audits, new user setup, and access removal.
  • Provide first-line technical support for Forma and Bluebeam, escalating platform issues as needed.
  • Support the Document Control Manager with creation and maintenance of Document Control SOPs, forms, templates, and guidelines as needed.
  • Integrate Forma with other platforms as needed, including Google Drive/Workspace and other internal systems.
  • Perform other document control tasks as assigned.

Requirements

  • 5+ years of experience in document control, or a related role supporting engineering, procurement, or construction document workflows.
  • Proficient in Google Workspace (Gmail, Docs, Sheets, Drive).
  • Working knowledge of, or ability to quickly learn, Autodesk Construction Cloud (Forma) and Bluebeam Revu.
  • High school diploma required; Bachelor's degree in construction management, engineering, or a related field preferred, or equivalent years of experience.
  • Strong written and verbal communication skills, with the ability to present to groups and work cross-functionally.
  • Able to work under the direction of the Document Control Manager and Project/Program Managers with minimal oversight.
