ABOUT THE ROLE
We are seeking a highly organized and proactive Office & Facilities Coordinator to oversee day-to-day operations at our new Pleasanton satellite facility. This temporary role is critical in ensuring a smooth, well-organized, and welcoming workplace environment for employees and visitors. Manage daily office functions to ensure a clean, efficient, and professional workplace
The ideal candidate excels in a dynamic environment, possesses strong attention to detail, and can effectively balance administrative, operational, and facilities-related tasks.
This is a 3-4 month long temporary position at our Pleasanton facility and will report directly to the Senior Executive Assistant & Communications Specialist.
IN THIS ROLE YOU WILL
- Serve as the primary administrative support for the Pleasanton facility
- Coordinate meeting logistics, support onsite events, and schedule/book catering
- Manage incoming and outgoing correspondence, including trips to the Livermore facility several times a week
- Act as the primary point of contact with the landlord regarding building or facility needs
- Order office and kitchen supplies, restock fridge and pantry
- Oversee maintenance requests and coordinate resolution of minor office issues
- Ensure an organized, safe, and welcoming environment for staff and visitors
- Maintain and administer the office badging system for employees and visitors
- Assist with special projects, events, and ad-hoc office initiatives
- Take direction from Senior Executive Assistant & Communications Specialist
- Complete other assignments as needed
BASIC QUALIFICATIONS
- High School Diploma
- Minimum 1-2 years administrative experience required
- Proven experience in office coordination, facilities support, or administrative roles
- Strong organizational, multitasking, and communication skills
- Ability to work independently, solve problems, and manage competing priorities
- Proficiency with standard office software (Microsoft Office, Adobe Pro)
- Must have a valid driver’s license and access to a personal vehicle (mileage will be reimbursed)
WORK ENVIRONMENT
- Ability to lift 25 lbs.
- Prolonged periods of sitting/standing at a desk and working on a computer
- Regularly required to sit, stand, and walk and occasionally kneel or squat
- The ideal candidate must be able to complete all physical requirements of the job with or without reasonable accommodation.
- Local travel required (Livermore and Pleasanton)
- Standard start time: 7:00am
- Must be able to navigate manufacturing environment, comfortable around heavy machinery, tools, etc.
- Must be able to wear Personal Protective Equipment, (i.e. safety glasses, bump caps, hearing protection, etc.)
EXPECTED COMPENSATION
$26.00 - $30.00/hourly
Pay offered may vary depending on multiple individualized factors, including market location, job classification, job-related knowledge, skills, and experience. The total compensation package for this position may also include other elements dependent on the position offered.
