An overview of this role
As an Executive Business Administrator, you'll provide strategic, high-impact support to four senior leaders in GitLab's People Group: the VP of Total Rewards, VP of Talent Acquisition, VP of People Strategy and Engagement, and VP of Diversity, Inclusion, and Belonging. You'll create leverage for these executives by managing complex calendars and travel across time zones, planning key team events, supporting recruiting and onboarding activities, and staying ahead of what's needed so they can focus on leading and scaling our GitLab team. You'll work primarily across Google Workspace, Slack, Zoom, Navan, and GitLab, toggling between them with ease while identifying priorities, resolving conflicts, and escalating urgent issues when needed. In your first year, you'll establish trusted partnerships with each VP, bring consistency and reliability to their operations, and contribute to the broader EBA community by sharing best practices and stepping in to support other executives when required.
What You’ll Do
- Support and partner closely with four People Group executives (Total Rewards, Talent Acquisition, People Strategy and Engagement, and Diversity, Inclusion and Belonging) while flexing to shifting priorities across their teams.
- Own and proactively manage complex, high-volume calendars across multiple time zones, ensuring time is aligned to strategic priorities and key deliverables.
- Coordinate extensive domestic and non-US travel end to end, including transportation, lodging, visas, and documentation, and accompany executives when needed.
- Plan and execute events such as team off-sites, large meetings, team building activities, and company kick-offs in partnership with cross-functional stakeholders.
- Support the full recruiting lifecycle for the People Group by scheduling interviews, coordinating with candidates and hiring teams, and helping organize onboarding activities.
- Compile and submit timely, accurate expense reports and support related processes such as purchase orders using tools like Google Workspace, Navan, Zoom, and Slack.
- Provide coverage and backup for other Executive Business Administrators, sharing best practices and helping drive consistency across the EBA community.
- Run and lead special projects and ad hoc initiatives for People Group executives, taking ownership from scoping through follow-up while communicating clearly with partners.
What You’ll Bring
- Experience providing executive-level administrative support in a dynamic, fast-paced environment, ideally partnering with People, Product, or Engineering leaders.
- Proficiency with Google Workspace, Zoom, Slack, Navan, and related tools and processes such as purchase orders, with the ability to quickly learn new technical tools.
- Ability to manage complex, frequently changing calendars and travel across multiple time zones, and to plan and coordinate events such as off-sites and large meetings.
- Demonstrated experience working independently, moving quickly between tasks, and using sound judgment to prioritize, solve problems, and anticipate executive needs.
- History of building strong, collaborative relationships across teams, including partnering effectively with other Executive Business Administrators and stakeholders at all levels.
- Experience supporting recruiting activities, including coordinating interviews, liaising between candidates and hiring teams, and assisting with onboarding logistics.
- Strong organizational and communication skills with attention to detail, including preparing accurate expense reports and handling sensitive information with discretion.
- Openness to working in an all-remote, distributed environment, with a sincere willingness to help others and contribute to a positive, "one team" culture; diverse and transferable experience is valued.
About the team
The Executive Business Administrator will join GitLab's People Group and includes Total Rewards, Talent Acquisition, People Strategy and Engagement, and Diversity, Inclusion, and Belonging. This distributed group partners across GitLab to attract, support, and retain team members while building an inclusive, values-aligned culture. You'll be part of a broader community of EBAs who collaborate asynchronously across time zones using GitLab, Google Workspace, Slack, and Zoom to stay aligned, share knowledge, and provide continuous coverage. The team is focused on scaling people programs, improving processes, and enabling senior People leaders to spend more time on strategic work that supports GitLab's mission and growth.
