Givens Estates, a premier nonprofit continuing care retirement community, is hiring a PRN Environmental Services Administrative Coordinator. The primary purpose of this position is to serve as administrative/secretarial support for Environmental Services team. This position reports to the Environmental Services Director, and the schedule would be weekdays from 8-4:30. This is an on-call position that would mainly be needed in case of lapse of coverage, call-outs, vacations, etc. If you are a self-starter passionate about growing your career as an Administrative Coordinator in a quality environment, we would love to hear from you!
What you’ll do:
- Receive environmental services requests by telephone, email, and in-person by residents/ team members and input work orders and various projects into Worxhub
- Provide support to the Environmental Services team, including creating correspondence and reports and assisting with special projects
- Perform administrative and organizational tasks as assigned, such as files and maintaining facility records (inspections, certifications, etc.)
- Maintain and order all office supplies for the Environmental Services team including the Health Center and Assisted Living
- Prepare Environmental Services payroll and schedules
- Provide basic IT support to team members when there are questions concerning tablets, copier, computers, Worxhub or PayCom
- Utilize translation methods to assist ESL team members
- Takes personal responsibility for safety in the workplace
- Attend continuing education programs, including on-line to fulfill requirements of the position
- Perform any other duties and/or tasks that may be assigned on an as-needed basis by an authorized supervisor
What you’ll need:
- High school diploma or GED equivalent is preferred, added plus if the candidate has a college degree
- Must possess the ability to plan, organize, develop, implement, and interpret the programs, goals, objectives, policies, and procedures, etc., that are necessary for providing quality care and maintaining a sound operation
- Ability to push, pull, move and lift a minimum of 30lbs at least 3ft in height and 10ft in distance without aid
- Working knowledge of computer systems and software packages including Excel, Word, PowerPoint, Worxhub, Sharepoint, FORTIS, Status Solutions and HVAC control software
- Exemplary public relations and office skills with the ability to multi-task, prioritize, and adapt with minimal supervision
- Strong verbal communication and written skills
