To help enable this growth, we are seeking an Executive Assistant to support our CBO and possibly other members of our executive management team and do whatever is necessary to keep the entire company happy, vibrant, productive, and achieving excellence.

The responsibilities of the position are broad and dynamic. Position Summary
We’re looking for a resourceful, detail-obsessed, and emotionally intelligent Executive Assistant to support our COO and leadership team. This is a dynamic and high-impact coordination role that goes beyond calendars and emails—it’s about clearing obstacles, connecting the dots, and keeping everything running seamlessly behind the scenes.

What You’ll Do

  • Executive Coordination: Manage complex calendars, prioritize scheduling conflicts, and ensure the COO is fully briefed and prepped for each meeting.
  • Meeting & Event Logistics: Plan and coordinate high-stakes internal and external meetings, leadership offsites, board meetings, speaking engagements, and company events.
  • Travel Management: Handle complex, multi-leg international and domestic travel arrangements, including visas, accommodations, and contingency planning.
  • Communication & Stakeholder Management: Serve as a key liaison with board members, senior executives, clients, and internal stakeholders—always with professionalism, poise, and diplomacy.
  • Administrative Operations: Prepare and submit expense reports, track deliverables, coordinate personal and professional commitments, and run occasional errands.
  • Culture & Onboarding Support: Collaborate with HR and Marketing to support new leader onboarding, internal culture initiatives, and employee engagement events.
  • Office Experience: Work with Office Managers, IT, and Facilities to ensure smooth daily operations and create a welcoming and well-stocked work environment.
  • Special Projects: Lead or contribute to process improvement initiatives, research tasks, and coordination-heavy internal projects.
  • Act as a Force Multiplier: Proactively remove barriers, anticipate needs, and help the COO stay focused on scaling the business.


What You’ll Bring

  • Bachelor’s degree or equivalent experience.
  • 3+ years of experience supporting C-level executives in a fast-paced, high-growth company.
  • Unmatched organizational skills with the ability to juggle priorities, manage deadlines, and maintain a calm, solutions-oriented mindset.
  • Exceptional discretion and confidentiality, especially when handling sensitive business and personal information.
  • Strong interpersonal and written communication skills, with a high EQ and ability to read a room.
  • Advanced proficiency in Google Workspace, Microsoft Office Suite, Zoom, Slack, and calendar/travel apps.
  • Comfort with both Mac and PC platforms, and the ability to learn new tech tools quickly.
  • Proven success in a role requiring attention to detail, independence, and follow-through.
  • A proactive, can-do mindset with a strong sense of ownership, empathy, humor, and a desire to make others’ lives easier.
