Logistic Assistant - Idleb
General Description of the Programme:
GOAL has been working in Syria since 2013, responding to the acute needs of conflict-affected communities. In close coordination with local partners, GOAL works in Idlib Governate, delivering food, non-food, and cash voucher programming to highly vulnerable populations. It has expanded its program sectors to include the provision of Water, Sanitation, and Hygiene (WASH) to those most in need.
Job purpose:
To support the effective operation of the GOAL Syria Idleb Office and related program activities by providing general logistics assistance, GOAL Logistics policies and procedures, and relevant donor requirements.
Duties, Objectives, and Competencies
Asset Management:
- Compliance and Procedure Adherence: Ensure strict adherence to asset management procedures in the Idlib Offices, fully complying with the GOAL Logistics Manual and relevant donor requirements.
- Asset Reporting: Accurately report the receipt, movement, and condition of all assets to the Senior Logistics Officer, ensuring up-to-date records of asset locations within Syria.
- Asset Tagging and Filing: Assist in the tagging and labeling all assets as required, maintaining an organized and comprehensive asset filing system in line with the GOAL Logistics Manual.
- Secure Storage: Ensure all assets are securely stored and adequately protected at the Idlib Offices.
- Asset Transfer Management: Prepare and track Asset Transfer Certificates for all assigned or returned assets, maintaining up-to-date electronic and hard copy filing systems.
- Asset Audits: Participate in monthly and biannual asset checks, reporting discrepancies to the Field Logistics Manager in Idlib and ensuring corrective actions are documented in the FAR.
Stock Management (As Related to Assets):
- Stock Card Maintenance: Help set up and maintain stock cards for all inventory stored in the Idlib Offices, particularly those classified as assets.
- Inventory Monitoring: Monitor inventory levels related to assets and report to the Senior Logistics Officer regularly (daily, weekly, monthly as required).
- Stock Takes: Participate in monthly stock takes of asset-related inventories as requested.
Premises and Compound Management (As Related to Asset Security):
- Asset Security Monitoring: Regularly monitor the security and maintenance of assets stored within office premises, ensuring that assets are protected from potential threats or damage, reporting when noting anything related.
- Generator and Equipment Maintenance: help properly function and fuel supply generators and other essential equipment classified as assets, maintain log books, and report any issues promptly.
Other Duties:
- Task Support: Perform additional tasks related to asset management as directed by the Senior Logistics Officer or FLM.
- Reporting: Fulfill all GOAL Syria reporting requirements, particularly asset management-related.
- Manual Handling: Be prepared to assist with manual handling and lifting of assets when required.
Requirements (essential):
- At least an Institute or a university degree in a related field.
- At least two years of relevant work experience in INGOs or LNGOs
- At least one year of relevant work experience in procurement, logistics, and office/business administration in INGOs or LNGOs.
Requirements (desired):
- Experience in assets management – Inventory for at least 6 months.
- Experience in Logistics in INGOs for at least 6 months.
- Completion or attendance of Microsoft excel training.
