Project Coordinator, Private Events

About the Position

Golden State is looking for a proactive Project Coordinator to join our Private Event Sales team. We need a highly organized individual to juggle multiple priorities, from administrative tasks and client communication to managing team projects and streamlining processes. This role is crucial to the team's success, ensuring that all projects run smoothly, and event details are flawlessly executed. This position reports to the Director, Private Event Sales.

This is a full-time position based onsite in San Francisco, CA.

KeyResponsibilities

  • Lead and manage special projects for the team, including creating and updating marketing materials, managing the team's LinkedIn page, and streamlining sales processes and gift inventory
  • Use Notion and Asana to keep the team's project calendar up-to-date and to track progress on all initiatives
  • Assist the Private Events team with administrative tasks for pending events and contracts
  • Create proposals and license use agreements for clients, manage client gifts and promotional items, and maintain all client files in Salesforce
  • Partner with internal teams (e.g., Premium Sales, Marketing, Accounts Receivable, Legal, etc.)  to ensure a seamless workflow to close out events and move projects along including end of year gifting and marketing campaigns
  • Serve as the primary point of contact for internal teams regarding event updates and communications
  • Create detailed event documents to ensure all departments are aligned on event operations
  • Cultivate and maintain client relationships to support future business
  • Assist in managing leads with a sense of urgency and in line with company standards
  • Create and manage event bookings using our sales system
  • Assist with site visits and tours for prospective clients; help with post-event summaries
  • Other duties as assigned

Required Experience and Skills

  • Bachelor’s degree or equivalent work experience
  • Minimum of 2 years in project management, special events, hospitality, or client management
  • Exceptional time management, organizational, and operational project management skills
  • Experience creating work plans, meeting agendas, and using collaboration tools is a plus
  • Excellent written and verbal communication skills; ability to present information clearly and professionally
  • Meticulous attention to detail, a strong sense of self-directed initiative, and a drive for continuous improvement
  • Calm demeanor under pressure with the ability to prioritize workload and act with urgency

Time Commitment

  • Ability to work non traditional hours, including mornings, evenings, and weekends, as needed

Compensation

  • $32.41 per hour + Bonus
