We’re looking for a Stock Plan Administrator II who brings strong stock plan administration fundamentals, excellent attention to detail, and a service-oriented mindset to help run the day-to-day administration of Gong’s equity programs—including grant and vesting activity, employee education and support, reporting, and cross-functional workflows with Payroll, Legal, Tax, HR, Finance/Accounting, and external vendors—while serving as a key operational partner to keep our equity processes accurate, compliant, and scalable as Gong continues to grow. You’ll work closely with the Senior Manager, Equity Administration to navigate more complex assignments, resolve participant and operational issues, and build strong, constructive relationships across internal and external stakeholders.
RESPONSIBILITIES
- Administer day-to-day equity plan operations, including new grant setup, vesting schedule administration, cancellations/modifications (as applicable), RSU vesting and settlement processing, option exercises, participant support, and ongoing data quality checks, reconciliations, and accurate maintenance of participant and award records.
- Support payroll and tax-related equity workflows, including coordination of withholding, reporting inputs, and timelines (U.S. and international as applicable).
- Serve as a point of contact for employee equity questions; explain plan basics clearly and consistently, using documentation and standard responses.
- Generate routine reports and deliverables (e.g., vesting activity, exercises/settlements, forfeitures, audit support, HR/Finance reporting) and ensure results are complete and accurate.
- Partner with internal stakeholders (Payroll, HR, Legal, Tax, Accounting) and external vendors/brokers to resolve inquiries and operational issues within established SLAs.
- Assist with month-end/quarter-end processes, including equity activity tie-outs and support for stock-based compensation accounting workflows (e.g., inputs, audit requests, and reporting support).
- Maintain and help improve standard operating procedures, job aids, and participant communications; identify process gaps and propose pragmatic improvements.
- Support compliance activities as needed (e.g., insider trading administration support, documentation retention, SOX/control evidence, audit readiness).
- Participate in testing and implementation support for enhancements, new award types, vendor changes, or process updates.
QUALIFICATIONS
- Bachelor’s degree in Finance, Accounting, Business Administration, or related field.
- 2–4 years of stock plan administration experience, ideally at a publicly traded company or in a comparable high-growth environment.
- In-depth knowledge of equity compensation, securities regulations, tax, and compliance requirements.
- Experience using a stock plan administration platform (e.g., Shareworks, E*TRADE Equity Edge, Morgan Stanley at Work, Fidelity, Carta) and strong proficiency in Excel/Google Sheets.
- Ability to follow defined processes with strong attention to detail, while also applying judgment to identify issues, troubleshoot, and escalate appropriately.
- Strong customer-service mindset with clear, confident written and verbal communication skills.
- Comfortable partnering cross-functionally and building constructive working relationships with internal teams and external stakeholders.
- A proven ability to communicate effectively with all levels of the organization and to build strong working relationships
- Experience supporting global equity processes (or desire to grow into them) is a plus.
- CEP Level II (or progress toward CEP) preferred.
YOU ARE
- Detail-obsessed and process-driven; you catch issues before they become problems.
- Able to “tie the basics” and also handle more complex scenarios with guidance when needed.
- A practical problem solver who documents clearly and follows through to resolution.
- Dependable under deadlines and comfortable juggling recurring cycles (monthly/quarterly) and ad hoc requests.
- Curious and improvement-oriented—you look for ways to make workflows more efficient and scalable.
