ABOUT THE ROLE

Some people fantasize about visiting faraway, tropical destinations. But you? No, your daydream involves browsing the world’s largest desk store, where you get to pick out a solid beauty that you can organize and rearrange to your heart’s content. So if you’ve been wondering about how you can bring your love of desks into your professional life, then look no further!!!

We are looking for an awesome Office Administrator to perform a variety of administrative and clerical tasks while managing our–you guessed it–front desk. You’d get to create an incredible first impression while providing high-quality customer service for anyone who visits our office.

NOTE: This position is part-time and required to be on-site on Tuesdays & Thursdays from 8:00AM-4:30PM with the possibility of extra days added when needed.

RESPONSIBILITIES

  • Sit at the front desk in the reception area to receive and welcome visitors to the Lagoon (our office) by greeting, determining the purpose of the visit, and directing and announcing them appropriately
  • Provide administrative support for the HR team on projects and office events
  • Collaborate with HR to manage employee engagement initiatives
  • Support the office manager by ensuring music is playing, making coffee, and re-filling snacks as needed
  • Receive mail, documents, packages, and courier deliveries and deliver or distribute items
  • Ensure the reception area is tidy and presentable, and stocked with all necessary materials 
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Notify people of visitor arrivals and manage meeting room schedules
  • Communicate effectively with various departments and team members
  • Work with the Office Managers on overall office needs, replenishment of supplies, and facility maintenance
  • Own communication and celebration of all work anniversaries 
  • Work with the hiring team to welcome candidates and ensure there’s proper office coverage during interviews
  • Help with planning, setup, and breakdown of events
  • Assist the Office Manager with as needed tasks, including being a back-up if the need arises
  • Perform administrative and clerical support tasks
  • This role is in the HR team and will report directly to the Director of HR
  • Perform other related duties as assigned

ABOUT THE IDEAL CANDIDATE 

  • May or may not have a degree...we don’t care (bonus points for Basset Hound Science or Dinosaur Law)
  • 1+ years of administrative experience 
  • Excellent written and verbal communication skills
  • Excellent interpersonal and customer service skills
  • Basic understanding of administrative and clerical procedures and systems
  • Proficient with Google Suite or related software
  • Major brownie points if you are interested in HR!
  • Familiarity with ADP or other HRIS platform is a BIG plus
  • Ability to operate standard office equipment
  • Finds office renovations or improvements fun
  • Solid organizational skills including attention to detail and multitasking skills
  • Ability to be resourceful and proactive when issues arise
  • Loves getting and giving feedback
  • Is into personal growth
  • Thinks Fun is being great (not partying)
