We are seeking a highly organized, energetic, and strategic Personal Assistant to provide comprehensive support to the CEO of Gracious Hospitality Management. This role demands the ability to multitask, thrive in a fast-paced environment, and proactively approach problem-solving. The ideal candidate will be meticulous with detail, gregarious, and maintain a positive outlook while navigating various tasks and responsibilities.

 

Essential Job Duties & Responsibilities:

Job duties and responsibilities include, but are not limited to the following:

  • Provide daytime care for the CEO’s  dog, including feeding, walking, and general supervision throughout the day.
  • Anticipate the needs of the CEO and proactively address them, ensuring smooth operations in both personal and professional aspects of the position.
  • Assists in managing all personal travel arrangements.
  • Assist in managing household tasks, including but not limited to organization and improvement projects, and overseeing property maintenance to ensure cleanliness at all times.
  • Handle various admin duties, including but not limited to checking mail and package pick-up.
  • Serve as a liaison between the individual, external parties and service providers.
  • Demonstrate flexibility and adaptability to rapidly changing priorities, with the ability to pivot quickly and effectively.
  • Act as an active communicator and eager listener, effectively conveying information and feedback.
  • Collaborate with other members of the team to ensure seamless coordination and execution of tasks and projects.
  • Maintain a high level of confidentiality and professionalism in all interactions and communications.
  • Demonstrate a willingness to go above and beyond to achieve success.
  • Maintain a positive and optimistic attitude, fostering a supportive and encouraging environment.
  • Contribute to a winning team dynamic, fostering camaraderie and mutual respect.
  • Act as a gatekeeper when screening calls, emails, and all applicable correspondence.

 

Qualifications:

  • Must have the ability to read, speak, understand, follow written directions, and verbal instructions in English. 
  • Must be reachable by email and able to communicate via phone as well. 
  • Working knowledge of commonly utilized office equipment and practices (printers, copiers, scanners, fax machines, calendar invites, call forwarding, etc.).
  • Ability to effectively manage internal and external correspondence.
  • Able to work independently and/or collaboratively, meeting internal and external deadlines.
  • Exceptional interpersonal skills and a positive, results-oriented, team-player mentality.
  • Ability to perform job duties and responsibilities well, adapt, and maintain professionalism, composure, and sound judgment under pressure in a fast-paced, often changing, and at times stressful environment.
  • Availability to support urgent matters on nights and weekends, as needed.
  • Excellent editing and proofreading skills.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong analytical abilities and attention to detail, with a solution-oriented mindset.
  • Excellent communication skills, both verbal and written, with the ability to interact confidently with individuals at all levels.
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Discretion and professionalism when handling sensitive information.
  • Ability to maintain composure under pressure and adapt to changing circumstances with grace.
  • Previous experience working in a high-profile or fast-paced environment is highly desirable.
  • Willingness to work flexible hours and be available on short notice.
  • Positive energy, enthusiasm, and a passion for supporting others in achieving their goals.
