Job Summary
We are currently seeking an Administrative Assistant to join our team in our Park Ridge, NJ office location. This role offers an exciting opportunity to be part of a dynamic and growing firm.
As part of our Administrative Team, you will be expected to provide efficient and accurate support to the partners and staff to help provide the highest level of service to our clients. You must be able to work under pressure, be a quick learner and assume responsibility for timely delivery of work assigned to them. You should be self-motivated and work well independently while also recognizing the need to be a team player. Below is a list of responsibilities we have outlined, as always there will be ad-hoc projects that could come up throughout the year.
Responsibilities include, but are not limited to:
- Providing general administrative support to multiple departments and staff
- Answering phones and directing calls or inquiries appropriately
- Preparing and processing engagement letters and related tax administrative documents
- Supporting tax professionals with administrative tasks during busy season and throughout the year
- Processing expense reports and vendor invoices as needed
- Supporting the Admin Ticketing System and responding to office requests
- Ordering office supplies and coordinating catering for meetings and events
- Assisting with preparation of client deliverables, binders, and internal documentation
- Handling incoming and outgoing mail and providing backup support for administrative team members when necessary
- Assisting with front desk coverage and mail distribution as needed
- Booking conference rooms and preparing meeting spaces
- Filing, scanning, copying, and faxing documents
- Performing ad hoc administrative projects and other duties as assigned
- Flexibility to work overtime during tax season deadlines and other peak business periods as needed
Qualifications
- High School Diploma required; Associate degree preferred
- Minimum of 2+ years of relevant experience (preferred within professional services environment)
- Excellent interpersonal, organizational, initiative, and leadership skills
- Strong written and verbal communication skills
- Proficiency with Microsoft Office Suite and willingness to learn new software and systems
- Ability to manage multiple priorities in a deadline-driven environment
- Maintains a high level of professionalism and consistently demonstrates respect for others

CPA Incentive: Financial assistance toward the achievement of the CPA certification which includes the cost of the CPA study materials, CPA exam registration and sitting fees for all 4 parts (up to 2 x per part), plus the CPA application and licensing fees. Compensation for this role is determined based on a combination of factors, including but not limited to your relevant experience, skills, certifications, and geographic location. Salary ranges are provided to offer transparency and may vary depending on final candidate qualifications and local market conditions. Please find compensation information below for candidates residing in New York.
New Jersey ranges are from $65,000 – $75,000
